The Share Point Governance & Administration Manager is responsible for establishing, implementing, and maintaining the organisation's Share Point Online governance framework.

The role ensures that corporate and project collaboration environments are designed, administered, and maintained in a secure, consistent, and efficient manner.

The Share Point Governance & Administration Manager is responsible for establishing, implementing, and maintaining the organisation's Share Point Online governance framework.

The role ensures that corporate and project collaboration environments are designed, administered, and maintained in a secure, consistent, and efficient manner.

The postholder will develop and manage governance documentation, standards, procedures, and controls covering the lifecycle of Share Point sites, permissions management, information architecture, content ownership, compliance, and user adoption.

The role will work closely with Functional Heads, Project Managers, Information Managers, IT teams, and business stakeholders to ensure that Share Point sites support effective collaboration while maintaining corporate governance, security, and compliance requirements.

Key Responsibilities

  • Governance Framework Development
  • Develop and maintain the Share Point Governance Framework.

• Define policies, standards, and procedures for

  • Site creation and approval.
  • Site ownership and accountability.
  • Information architecture.
  • Metadata and document management standards.
  • Security and permissions administration.
  • Retention and archival requirements.
  • Site lifecycle management.
  • Produce governance manuals, user guides, standards, and operating procedures.
  • Maintain governance documentation and ensure ongoing compliance.
  • Share Point Site Provisioning & Lifecycle Management
  • Define and administer the process for creating new Share Point sites.

• Develop standard site templates for

  • Corporate functions.
  • Departments.
  • Project sites.
  • Joint venture or external collaboration sites.
  • Create approval workflows for site requests.

• Ensure every site and area within it has

  • Assigned business owner.
  • Site administrator.
  • Information owner.
  • Retention requirements.
  • Manage site reviews, archival, and closure processes.

  • Design and maintain permission models across all Share Point environments.
  • Define role-based access control standards.

• Establish approval processes for

  • New user access requests.
  • Permission modifications.
  • External user access.

• Ensure permissions are aligned with

  • Business responsibilities.
  • Information classification requirements.
  • Corporate security policies.
  • Conduct regular permission audits.
  • Monitor and remediate permission inheritance issues.
  • Maintain access review schedules with Functional Heads and Project Managers.
  • Project Collaboration Environment Management
  • Establish governance standards for project collaboration sites.
  • Support mobilisation of Share Point environments during project startup.
  • Define standard site structures for projects and functions
  • Ensure consistency across projects portfolio.
  • Engage with business leaders to understand collaboration requirements.
  • Support Functional Heads in fulfilling their governance responsibilities.
  • Advise Project Managers regarding project information management.
  • Facilitate governance forums and working groups Digitalization and dashboard standardization
  • Support development of digital BI dashboards, standardize application across projects and facilitate publication and access control on projects and HQ sites.
  • Facilitate knowledge transfer between projects and sites promoting synergies between them and avoiding duplications of works.
  • Support the build-up of a consistent Digital Hub applicable across all sites.
  • Technical Skills And Competencies
  • Proficient in English communication, both written and verbal.
  • Extensive experience administering Share Point Online and Microsoft 365.
  • Experience developing governance frameworks and operating models.

• Strong understanding of

  • Microsoft 365 Administration, Permissions and Security.
  • Share Point Online.
  • Teams integration, Lists, Power BI, Power Automate & Forms
  • Entra ID (Azure AD).
  • Information governance.
  • Security and compliance.
  • Experience managing enterprise collaboration environments.
  • Strong document writing skills capable of producing governance policies, standards & procedures.
  • Experience supporting large programmes, projects, or construction environments.

Qualifications, Certifications And Experience

  • Microsoft Certifications for Microsoft 365 fundamentals, Security, Compliance & Power Platform Fundamentals
  • Experience in construction, infrastructure, engineering, or project-based organisations managing Microsoft 365 environments, designing and implementing Share Point site structures and managing permissions, security groups, and information governance controls.
  • Knowledge of ISO 19650 information management principles, ISO27001 information security controls & UK GDPR and Data Protection requirements.
  • Familiarity with Power Platform and Share Point automation.
