Job Summary
Responsible for ensuring that all aspects of the office administration run efficiently thereby meeting the requirements of the A-13/ Elephant & Castle Station Capacity Upgrade project teams. To operate the project reception; providing a professional and efficient first impression and continued image.
Responsibilities
- Meet, greet and welcome visitors to the project
- Provide telephone reception and redirect calls as required
- General administration duties as required
- Ensure visitors complete the visitor registration process
- Maintain established office systems and procedures
- Sending outgoing post and distribution of incoming post in a timely manner; manage internal post between site and office
- Stock control, ordering and distribution of office supplies; liaise with suppliers, checking costs, delivery times and procedures
- Raise purchase requisitions as necessary with Project Procurement
- Provide a meeting room booking service
- Assist in organising the office layout and keep the seating plan updated
- Ensure the office condition is maintained and arrange repairs when necessary
- Liaise with local facilities management and suppliers for office maintenance
- Arrange regular testing of electrical equipment and safety devices in project offices
- Update the contact list with new starters and leavers and inform the communications manager for periodic reports
Qualifications, Skills and Experience
- Previous administrative/reception experience in construction or project-based environments
- Experience with construction project documentation and file management
- Proficient in Microsoft Office
- Ability to maintain confidentiality and engage with key stakeholders
- Experience managing a reception and office supplies
- Strong organisational and multitasking skills in fast-paced environments
- Excellent communication and front-desk reception skills
- Attention to detail in document handling and data entry
- Excellent planning and organising skills
