Job Summary

This role provides administrative and coordination support across the Health, Safety and Wellbeing (HSW), Environmental, and Quality functions within Dragados UK & Ireland.

The position is responsible for maintaining compliance systems, managing documentation and records, coordinating audits and inspections, supporting reporting and performance monitoring, and ensuring the effective administration of key business processes.

The role acts as a central point of contact for a range of stakeholders and works closely with operational teams and managers to support the continuous improvement of Health, Safety, Environmental and Quality (HSEQ) performance across the business.

The postholder will help maintain compliance with ISO standards and company procedures while providing efficient and effective administrative support.

Key Responsibilities

Health, Safety and Wellbeing (HSW) Administration

  • Manage DSE starters and leavers, monitor assessment compliance and action close-out, allocate actions, and troubleshoot Assess NET issues.
  • Produce and distribute monthly HSW communications, including safety alerts, lessons learned, and updates.
  • Coordinate HSW campaigns and events, preparing materials, promoting initiatives, and collating participation and feedback data.
  • Support audits and inspections through administration, evidence collation, certificate renewals, and Share Point updates.
  • Maintain HSW memberships and associated records.
  • Organise meetings, distribute agendas and minutes, monitor action trackers, and coordinate progress reporting.
  • Produce and support HSW reporting, including monthly reports, incident logs, training dashboards, and data submissions.
  • Maintain and update HSW Share Point content and related documentation.
  • Manage PPE administration, including orders and returns for office staff.
  • Monitor HSW actions across Dragados offices and ensure statutory notices remain compliant.
  • Support the development, testing, maintenance, and reporting requirements of HSW databases and dashboards.
  • Provide administrative support for the Health and Safety Management System (HSMS), including document formatting and uploads.
  • Environmental
  • Input and maintain environmental performance data within the Enablon system, ensuring supporting evidence is accurate and complete.
  • Support internal and external ISO 14001 and ISO 50001 audits through documentation and evidence collation.
  • Maintain environmental records and document control systems, ensuring information is organised, compliant, and accessible.
  • Liaise with site teams to secure timely submission of environmental documentation and monitor compliance deadlines.
  • Provide administrative coordination, including meeting organisation, minute taking, action tracking, and management of the environmental inbox.
  • Quality
  • Administer and maintain Quality management systems, including Share Point and project management platforms, ensuring effective document control and user access management.
  • Maintain, format, and control Quality documentation, templates, forms, and Inspection and Test Plan (ITP) check sheets in line with company standards.
  • Coordinate the management and upload of additional standards and requirements within ACCURIS.
  • Support internal and external ISO 9001 audits through the collation of documentation and evidence.
  • Maintain quality registers, including audits, site observations, and Non-Conformance Reports (NCRs), tracking corrective actions through to closure.
  • Coordinate quality documentation and reporting activities, ensuring timely submissions and supporting compliance requirements.
  • Organise Quality team meetings, prepare agendas and minutes, and monitor action trackers to ensure completion of actions.

Technical skills and Competencies

  • Proficient in Microsoft Office, Share Point, and document management systems.
  • Experience maintaining records, reports, KPI data, and compliance documentation within a project environment.
  • Knowledge of HSEQ management systems and ISO standards.
  • Strong organisational, communication, and stakeholder management skills.
  • Ability to prioritise workloads, manage multiple tasks, and maintain a high level of accuracy and attention to detail.
  • Proactive, collaborative, and able to work effectively both independently and as part of a team.

Qualifications, Certifications and Experience

  • Experience in an administrative, compliance, coordinator or project support role.
  • Experience maintaining records, databases, and document control systems.
  • Working knowledge of Health, Safety, Environmental and Quality (HSEQ) management systems.
  • Experience working within a construction, engineering, or project based environment.
  • Experience using Microsoft Office applications, particularly Excel, Word, and Power Point.
  • Experience using Share Point, document management systems or similar business platforms.
