Job Summary

The Contract Manager provides Prime Contract support and oversees and manages specific commercial processes on the project to aid MDJV in meeting its obligations under the Prime Contract.

Key Responsibilities

Provide support to the Lead Contract Manager in matters relating to the management and administration of the Prime Contract, including:

Drafting contractual notifications and correspondence for review;Identifying/flagging-up potential commercial risks to MDJV, including Disallowed Cost risks;Supporting the Lead Contract Manager to respond promptly to contract queries raised by project team members.

Manage The MDJV Change Control Process For Both Internal (MDJV) Changes And Downstream (subcontract) Changes On The Project In Accordance With The MDJV Change Management Procedure, Including

Processing/administering Change Request Forms (CRF\’s) in Aconex, including QA checks of draft CRF\’s prior to submission for approval and change management-related cost system administration;Ensuring CRF\’s are turned around/approved in a timely fashion to support delivery processes and contract management on the project;Chairing Change Board meetings, including issuing the agenda in advance, managing required attendances and circulating the minutes post-meeting to confirm decisions made and any actions required;Managing the project\’s Delegated Authority (DA) process for the approval of CRF\’s in line with the project\’s DA matrix, including low value change which does not require approval at board level;Change control reporting, including updating and maintaining the Project Change Log and tracking, monitoring and reporting of DA expenditure against DA limits each period;Ensuring that the Change Management Procedure is kept up-to-date;Providing change control training/briefings to the project team, where required.Manage the Central Contract Communication (CCC) process used for issuing project-wide communications/instructions to the supply chain, including CRF\’s approved through change control which affect multiple subcontractors. This will include:Identifying any CRF\’s which require a CCC, post-approval, to effectively communicate/implement the change;Assisting in drafting contractual correspondence and instructions to be issued to the supply chain as CCC\’s;Checking contractual clauses under which CCC\’s are to be issued and whether they constitute a change under subcontract terms and conditions;Updating and managing the CCC tracker.

Support MDJV with the implementation of its Cost Assurance Plan, including:

Undertaking Contract Compliance Audits (CCA\’s) and commercial health checks on select subcontracts;Administration of the NEC3 PSC (Option E) contract between MDJV and the specialist, cost verification consultant appointed on the project;Supporting the processes for commercial close-out of packages and progressive assessment of Defined Cost under the Prime Contract.

Support subcontract management and administration processes on the project, including:

Helping to field contract administration-related queries from the team;Setting up new subcontracts in the contract administration system (Aconex);Maintaining the project\’s Commercial Management Hub (which acts as the commercial and contract administration \’handbook\’ for MDJV).Support continual improvement of commercial processes and systems on the project by proactively exploring initiatives which could lead to more efficient ways of working.

Technical Skills And Competencies

Proven knowledge of all aspects of commercial management.Knowledge of various forms of NEC Contracts.Knowledge of integrated reporting.Knowledge of IT systems relevant to Commercial Control.Knowledge of programmes and change management.Ability to use IT applications.

Qualifications, Certifications And Experience

Experience in commercial management.Experience of working in major (£100M+) projects.Formal qualification RICS or similar.

Behavioural competencies

Ability to lead a team.Ability to focus on detail at the same time as seeing the strategic picture.Ability to present confidently to senior management.
