Job Summary

The Bid Coordinator plays a central role in supporting the Business Development and Bidding department by consolidating, managing, and controlling all administrative, document-management, and information-governance activities associated with tendering. The role ensures that all tender information, documentation, workflows, and governance requirements are managed accurately, efficiently, and securely.

This provides a single, integrated point of coordination for tender documentation, information flows, SharePoint management, and reporting. The role is critical to maintaining compliance, auditability, confidentiality, and knowledge retention across a growing volume of tenders.

Key Responsibilities

  • Governance, Information Management & Administration
  • Consolidate, centralise, and manage all administrative duties required to support tender governance processes, in line with Dragados procedures.
  • Maintain consistent standards in documentation control, auditability, compliance evidence, and process governance.
  • Manage document registration, receipt, distribution, version control, and formal issuance of tender documentation.
  • Ensure correct application of approval workflows, quality checks, and governance protocols across all submissions.
  • Support knowledge‑management activities by ensuring previous submissions, lessons learned, and reference materials are curated and accessible.
  • SharePoint & Digital Information Systems
  • Administer and maintain the department’s SharePoint environment, ensuring structured storage, controlled access, and governance compliance.
  • Ensure secure handling of sensitive and confidential tender information; this work cannot be externalised due to data‑governance requirements.
  • Maintain proformas, registers, datasets, and templates within the document‑management system.
  • Coordination, Workflow Management & Reporting
  • Act as the central point of coordination for documentation, queries, and information flows between BD, Estimating, Planning, Technical Services, and SMEs.
  • Track incoming/outgoing documents, maintain up-to-date status logs, and prepare reports and dashboards to support bid governance and decision‑making.
  • Support training, system familiarisation, and process adherence for internal users.
  • Chase outstanding information and ensure timely distribution of correct documentation to relevant teams.
  • Knowledge Retention & Pipeline Support
  • Maintain organised records of previous tenders, value‑add materials, project data, and reference documents to support efficient future bid production.
  • Support ad‑hoc administrative activities including market and competitor research, updating pre‑contract databases, and preparing presentation materials.

Experience, Knowledge, Qualifications & Skills

  • Previous experience in document control, bid coordination, or tender administration in an engineering or construction environment.
  • Strong knowledge of document‑management and collaboration systems (SharePoint, EDMS).
  • Excellent organisational, communication, and time‑management skills.
  • Ability to work under pressure and meet tender deadlines.
  • High attention to detail, strong IT proficiency, and ability to manage sensitive information securely.
  • Experience supporting governance frameworks, reporting, or structured workflows is advantageous.
