We are looking for a part‑time Receptionist to join our friendly team. You will provide effective and efficient reception and administrative services in a professional and courteous manner. Experience delivering a high standard of customer service is valued, but full training will be provided. The role is part‑time, 28–30 hours per week, with some 8:00 am starts and 6:30 pm finishes, and includes covering colleagues for sickness and holiday absence.
Responsibilities:
- Ensure the efficient running of the appointment system and be aware of the flow of patients into consulting rooms, advising on any potential delays.
- Help coordinate urgent on‑the‑day appointments for patients, either by assisting with online forms or walk‑in emergencies.
- Respond to all queries and requests for assistance from patients and visitors.
- Participate in Care Navigation, signposting patients to more appropriate health care services.
- Take and process new patient registrations.
- Safely take samples from patients according to the Sample Handling protocol.
- Take subject access requests from patients.
- Set up online user accounts.
- Familiarise yourself with the appointment systems used by the practice and the Primary Care Network.
- Book appointments for long‑term condition recalls as per patients’ needs.
- Process patient information, such as notifications of deaths, according to practice protocols.
- Receive and transfer telephone calls, ensuring accurate messages are transcribed.
- Assist with clerical work as required: clinical data entry, scanning of documents, issuing mail‑merge letters, recording and extracting data for audit, and Clinical Coding.
- Retrieve and advise patients of their test results.
- Provide holiday and sickness cover for colleagues as required.
Qualifications:
- Minimum NVQ level 2 in Customer Service or equivalent experience.
- NVQ level 3 in Customer Service or equivalent.
Knowledge and Skills:
- Must have experience of working within a GP Practice or other Primary Care setting.
- Must be smart, polite and confident.
- Must be able to cope under pressure.
- Must be able to use initiative and understand when it is appropriate to do so.
- Have good time management and the ability to work to deadlines.
- Must be well organised and able to follow procedures and guidelines consistently and effectively.
- Must be able to deal with the public and colleagues sensitively and effectively and have a clear telephone manner.
- Must be articulate and display excellent communication skills.
- Must be able to respect confidentiality.
- Must have a good attendance record.
- Have great interpersonal skills.
- Must be computer literate and comfortable with technology and have basic keyboard skills.
- Previous experience in a busy office environment.
- Previous experience of working in a busy health environment.
