We are looking for a GP receptionist/administrative person, working part time 20-30 hours. Ideally with experience in a GP surgery, NHS or customer related sector. We are a small team so all staff are expected to engage in all reception/admin/secretarial duties as required.
Main duties of the job
Main duty is to support clinical staff with appointments and administrative duties. This will involve reception duty in 5-hour shifts morning and/or afternoon. We open 8am to 18:30.
About us
We are a small GP surgery located in the City of Coventry Health Centre with about 4,700 patients. We have mixed or diverse ethnicities in our catchment area which is considered deprived with a mix of languages, mainly from East Africa. The surgery is located on the first floor. Our practice has clinical staff including locum doctors, salaried GPs, pharmacists, a practice nurse, HCA (Health Care Assistant), FCPs (First Contact Physio) and a Paramedic. The reception/admin team (about six mainly part-time staff) is responsible for supporting the clinical staff and patient appointments. The GP surgery is open between 8am and 6:30pm Monday to Friday with additional out of hours cover provided by our PCN (Primary Care Network).
Job responsibilities
As a small practice, you will be expected to learn and deal with almost all non-clinician related tasks and provide support for clinicians. You will be responsible for the general reception, administrative and secretarial duties within the Practice and work with our established processes, policies, and procedures to provide a comprehensive high-quality service and deal efficiently and courteously with patient enquiries. You will need to have a positive attitude and be flexible beyond your primary role as assigned by the Practice Manager.
Your regular duties in this role will include:
- Dealing with telephone, face-to-face and electronic enquiries
- Booking and/or amending patient appointments and home visits
- Contacting patients to provide information from the clinical team
- Assisting patients to access our services and those available in the wider community
- Providing cover for other staff on holiday or sick leave
Person Specification
Experience
- At least one year in a customer service setting
- Demonstration of good communications including command of English (written and verbal) via qualifications (A level or higher)
- At least one year experience dealing face-to-face with customers
- Experience of working in a GP practice or primary care
- Experience in NHS
- Can share examples of good communication with empathy
- Can share examples of being a team player
- Can share examples of being polite and courteous, even with difficult people
Qualifications
- You will need right to work (RTW) in the UK
- You will need to clear a DBS check to prove there are no convictions
- Good command of English (written and verbal)
- Experience in a GP surgery, NHS or customer service setting
- Familiar with computers and use of Microsoft Office
- Educated to A level standard or above
- Knowledge of other languages (apart from English)
- Flexibility in working hours
