Job Description
We are currently recruiting for an experienced and highly motivated HGV Breakdown and Service Advisor to join our highly skilled HGV Department.
Key Tasks/Areas of Responsibility
- To ensure that externally maintained vehicles and trailers are kept in a fit and roadworthy condition in accordance with the relevant legislation.
- Where any form of maintenance is contracted out, to ensure that contracts include all relevant requirements of operator licensing, that facilities are adequate, staff competent and that regular compliance audits are undertaken.
- To ensure all agreed criteria and KPIs contained within the Service Level Agreement are adhered to.
- To manage external repairers to ensure VOR levels within the agreed parameters.
- As required by the National HGV Maintenance Manager, to be responsible for aspects of the HGV External R&M P&L.
- Managing the maintenance schedule and bookings for all externally maintained HGVs.
- To ensure all planned maintenance occurs within the legal time limit (e.g. correct ISO week for Safety Inspections).
- To liaise with maintenance contractors, manufacturers, hire companies and dealers, as might be appropriate and to make certain vehicles and trailers are subjected to regular safety inspections and serviced in accordance with manufacturer recommendations and manage the legal maintenance agreement and contractual SLA with those contractors.
- Once bookings are confirmed, to ensure the relevant Operator (Transport Department or Depot) is made aware so they can facilitate the maintenance.
- To check all maintenance documents (e.g. Inspection Sheets) and complete them to the standard required by the relevant legislation (e.g. GTMR).
- To support a robust ‘Driver Reportable Defect’ process, reviewing all maintenance documents for defects that should have been identifiable by a driver and escalating to the relevant Operator.
- To escalate appropriately when a vehicle is likely to become overdue for planned maintenance.
- Provide administrative support to the wider HGV Department.
- To complete administrative tasks as required by the Head of HGVs or National HGV Maintenance Manager including but not limited to: Ordering of fuel, transferring vehicles on and off Fleet, etc.
- Processing supplier invoices.
- Issuing PO’s to external repairers.
- Chasing external repairer workshops for updates on vehicles to reduce VOR time on vehicles.
- Quality check of paperwork from third party scheduled works.
- Raising roadworthy/VOR defects following network repairs.
- Uploading of scheduled work documents to inhouse datalive system IE MOT, Brake test, Tacho documents.
- Inputting mileage readings for compliance purposes.
- Inbound/Outbound call handling.
- Taking inbound/outbound calls from depots/drivers/customers to report faults with vehicles.
- Placing jobs with external repairers via phone or portal.
- Liaising with external repairers to ensure vehicles are repaired and communicating to the wider business where needed.
Qualifications About You
As the successful candidate you will demonstrate that you have excellent Administration skills. DPD is a very fast paced business so the ability to manage your workload and time effectively is critical.
- A high standard of computer literacy with a thorough knowledge of Google Suite / Microsoft Office programmes.
- Excellent communication skills and the ability to communicate effectively at all levels.
