We are currently recruiting for a Facilities and Maintenance Administrator to be based from our site in Coventry. This role will be on a Fixed Term contract basis for up to 12 months to cover maternity. In this varied and challenging role you will assist in coordinating the Engineering Team’s administration and documentation to ensure compliance with guidance and legislation.
About the role:
- Liaising with third party contractors to arrange service dates/documentation – RAMS, Pre-alerts, Inductions, Insurance Details
- Updating/Maintaining Maintenance Tracker/New Dashboard
- Update records on company systems including: Systems updates for Engineering, Facilities, Maintenance and other related equipment or activities supported by Qpulse.
- Ensure updates are entered into the MMS in a timely manner to provide performance management.
- Interact with various departments/external companies via telephone, email or in person to provide information and resolve issues when possible or ensure escalation to correct department or level for solutions.
- Support cost savings through continuous improvement.
- Perform administrative activities, including: End dates of service contracts & advise of renewals dates. Internal audits to ensure compliance. Budget & Expenditure Tracker for the Facilities & Maintenance and Engineering Team.
- Ensure UK Engineering Team’s (Engineering, Maintenance, and Facilities) administration and documentation to ensure completeness and compliance per local laws, guidance, and legislation.
- Carry out procurement/purchase requisitioning activities within the UK Engineering and Facilities Team.
- Maintenance and analysis of database up to date with timely, accurate, and detailed information across UK.
- Task completion, overdue, hours with contractors, travel time.
- Liaise and work closely in conjunction with teams from other UK sites.
Your Key Skills/Experience:
- Previous relevant administration experience obtained in a similar role working within maintenance, facilities or Engineering
- Excellent IT knowledge and experience using all MS Office products including Excel
- Strong prioritisation skills
- Excellent communication skills with ability to update, challenge and chase stakeholders of all levels (internally) and externally (contractors/third parties)
