About the Role: We are seeking a highly organized and proactive EMEA/APAC Coordinator (HR Assistant) to support the VP, People EMEA/APAC in delivering seamless administrative and operational support across the globe. This role is critical to ensuring compliance, facilitating internal engagement, and enabling effective regional execution of global HR initiatives. This is a key team assistant role requiring discretion, attention to detail, cross-cultural sensitivity, and strong coordination skills. We are looking for individuals who work well in a team-driven working group. We are looking for candidates with good problem solving skills and the ability to work with autonomy.

You Will:

  • Report to the VP, People EMEA/APAC and be based in our London office on a hybrid schedule.
  • Support the VP, People EMEA/APAC, by managing the flow of legal and administrative documents, including benefits, vendor agreements, and employment paperwork.
  • Provide scheduling support for their calendar, taking into account complex global timezones.
  • Plan domestic and global travel by arranging flights, rail service, hotel, and car service reservations.
  • Support expense management.
  • Assist in prioritizing tasks and managing workload to improve the VP’s effectiveness.
  • Plan and execute regional employee events such as Town Halls, Ask Me Anything sessions, survey debriefs, and offsite meetings.
  • Collaborate with Executive Assistants to align leadership schedules, manage time zones, and ensure local relevance in communications and delivery.
  • Support coordination and logistics for HR-led campaigns, for example the Engagement Survey and Gender Pay Gap initiatives.
  • Support ongoing documentation and compliance efforts in-line with acquisitions, including auditing and archiving personnel files.
  • Support expansion of the People Place content to include region-specific policies, working closely with US-based HR Coordinators and the Policy team.
  • Coordinate meetings and initiatives for a 40+ member international People team to foster team cohesion and engagement.
  • Act as a cultural bridge to help drive equity of experience across regional offices, reducing silos within the global People team.

You Have:

  • Bachelor's Degree or equivalent work experience in a related field.
  • Proven experience in a team assistant or HR coordinator role, ideally in an international or matrixed organization.
  • Working towards your CIPD.
  • Strong organizational and multitasking skills; comfortable handling high volumes of administrative work.
  • Familiarity with HR processes and compliance documentation, especially in international contexts.
  • High attention to detail, confidentiality, and a proactive approach to identifying and solving problems.
  • Experience with tools like Adobe Sign, Google Suite, and calendar management systems.
  • Ability to work independently, take initiative, and manage competing priorities across timezones.
  • Detail oriented with excellent interpersonal communication skills (verbal and written).
  • Excellent organizational skills and attention to detail.
