Role
The Risk SLT Team Assistant will provide administrative support to the SVP Risk Sales, SVP Risk & Compliance, and the SVP & GM of Geopolitical Risk. Reporting to the EA of the Risk EVP & GM, the role has a strong focus on diary coordination—arranging meetings, booking meeting rooms, managing diary conflicts, plus expense management (Concur), travel coordination/itinerary planning.
Responsibilities
- Diary & meeting Coordination
- Assist Risk SLT SVPs above with scheduling and managing their complex diaries
- Ensure meeting rooms are booked in all offices, and refreshments ordered, if required
- Constantly monitor calendars and action any clashes, highlight priority meetings
- Add reminders and prompts as necessary
- Prompt for agendas and pre-read information
- Be comfortable working and scheduling across timezones with multiple attendees
- Action requests as soon as possible
- Expenses
- Manage expense processing via Concur, ensuring accuracy, and timely submission
- Ensure receipts are submitted with all expenses
- Travel & Logistics Coordination
- Arrange travel for the above, including flights, accommodation, visas
- Manage restaurant bookings and hospitality arrangements
- Anticipate logistical needs (e.g. allow for travel time between meetings/potential airport delays) and proactively resolve issues related to travel
- Be available for urgent travel needs
- General Administrative Support
- Order business cards as needed
- Keep Risk communication Distribution Lists accurate and up to date
- Provide holiday cover for the EA, avoiding time off clashes
- Meet with Risk SLT individuals above once per week to connect on diary priorities
- Any other administrative needs, as required
- Assist with All Hands internal events
You Will
- Be based in the London Bridge office, working on-site at least three days/week, coordinated with the EA’s days in the office
- Use confidentiality and discretion
- Work quickly and swiftly, respond to requests immediately
- Available at all times for emergency travel changes
You Will Have
- Experience using different functions within Google Suite and Google Drive
- Experience with Concur
- 3-5 years experience in the administrative assistant field, supporting C-suite executives with diary management and travel
- Ability to manage multiple diaries and timezones
- Positive, problem-solving attitude
