We are seeking a highly organized and reliable Part-Time Administrative Assistant to support our Finance team. This role is crucial for maintaining efficient administrative operations within the department, focusing on document coordination and general administrative support. The ideal candidate will be meticulous, proactive, and able to handle confidential information with discretion.
Key Tasks and Responsibilities
- Collect mail and distribute to the appropriate Finance contacts
- Assist with the review and transition of hard copy documentation to digital formats, supporting departmental digitization efforts
- Coordinate the internal signing and external mailing of Acts of Acceptance monthly/quarterly
- Processing Certificates of residence for CIS and Latin America
- Raising purchase orders and applicable receipts on SAP for department supplier invoices
- Printing/collating documents for couriers/signatures
- Manage ad hoc administrative tasks as assigned by the local Finance teams to ensure smooth department operations
Requirements
- Proven experience in an administrative or office support role, preferably within a finance or corporate environment (1-3 years)
- Exceptional organizational skills and attention to detail
- Strong verbal and written communication skills
- Proficiency with Microsoft Office Suite (Word, Excel) and the Google Suite (Gmail, Drive, Sheets, Docs)
- SAP experience not required but a plus
- Ability to handle confidential information professionally
- Must be reliable and able to work independently with minimal supervision
Hours
This is a part-time position. Specific working hours will be discussed during the interview process.
