The Dove River Practice is looking to add a new receptionist to the team. You will be working within our friendly GP Practice undertaking both admin duties and telephone calls supported by the team. We are looking for a team player dedicated to providing the best service for our patients. The successful candidate will require excellent customer service & organisational skills. You will need a friendly personality and have the ability to multitask in a busy environment dealing with patients and other members of the primary care team which supports the health needs of the local population. Full training will be given but experience would be desirable.

Shifts: Monday 13:00 - 18:00, Tuesday 08:00 - 18:00, Thursday 13:00 - 18:30. Annual leave cover is expected which may increase your hours on those weeks. At least 4 weeks' notice will be given. The Dove River Practice is an EMIS system practice. Interviews are planned to take place week commencing 5th October. Please note, shifts will be over both of our sites at Tutbury & Sudbury.

Main duties of the job:

  • To be responsible for undertaking a wide range of reception duties and the provision of general support to the multidisciplinary team.
  • Duties can include but are not limited to; greeting and directing patients, effective use of the appointment system, booking appointments, referring patients, scanning and processing of information and assisting patients as required.
  • To act as the central point of contact for patients, the distribution of information, messages and enquiries for the clinical team, liaising with multidisciplinary team members and external agencies such as secondary care and community service providers.
  • You need to have good communication skills and customer service experience is essential.
  • The surgery can be very busy during parts of the day, dealing with the public both face to face and telephone calls from patients, as well as practice team staff queries, so you will need to be able to prioritise and be flexible in dealing with the work load.
  • Team work is essential as everyone has a part to play in making the running of the Practice as smooth and productive as possible.
  • The ability to keep calm when sometimes dealing with the public in difficult situations will be an expected part of this position.

We are a two Partner Practice operating from two sites; one in Sudbury village and the other in Tutbury. We employ 36 staff in total ranging from doctors, ANP, nurses, HCA's, dispensers and admin plus attached staff such as district nurses, health visitors and midwives to support the delivery of primary health care in the community. Job responsibilities:

  • To provide a professional and welcoming reception service for all patients and visitors to the Practice.
  • To provide information to callers and visitors, or refer on to other sources as appropriate.
  • Dealing with patient queries via phone or face to face.
  • Booking & amending appointments.
  • Check NHS Net and Outlook emails daily and action as required.
  • Dealing with patient enquiries and if necessary to pass them to most appropriate clinician/team.
  • Handling prescriptions and prescription enquiries.
  • Liaise with other healthcare professionals via email or telephone.
  • Electronic filing of patient reports, results and documents.
  • Opening post, sorting letters.
  • Support all clinical staff/management with general tasks as requested.
  • To carry out any other reception duties reasonably required by the Doctors.

We have a Dress Code Policy that will require you to wear a blouse which is provided by the Practice. Sensible footwear is also a requirement.

Health & Safety: The post-holder will assist in promoting and maintaining their own and others health, safety and security as defined in the Practice Health & Safety Policy, to include: Using personal security systems within the workplace according to Practice guidelines, identifying the risks involved in work activities and undertaking such activities in a way that manages those risks, making effective use of training to update knowledge and skill.

Safeguarding: All employees are required to act in such a way that at all times safeguards the health and wellbeing of children and vulnerable adults. Familiarisation with and adherence to Safeguarding policies is an essential requirement of all employees as is participation in related mandatory/statutory training.

Qualifications: GCSE grade A to C in English and Maths.

Experience: Experience in a customer service setting, experience of working in a GP practice.
