The Role

We are looking for an enthusiastic and motivated Finance Operations Senior Specialist to join our team on a maternity cover contract. This role is perfect for someone who enjoys working in a dynamic environment, thrives under deadlines, and is passionate about delivering a smooth, accurate billing experience for clients across global entities. You will oversee part of the Finance Operations function and act as an escalation point. You will work closely with our Operations, Sales, Legal and Finance teams to ensure seamless processes and high customer satisfaction. Full training will be provided on our Dotdigital platform, HubSpot CRM, Deal Hub CPQ and SAGE accounting software.

To succeed in this role, you will need to be confident, organised, proactive, and comfortable handling customer communication—including dispute management—with professionalism and clarity. You will report directly into the Head of Finance Operations.

Key Responsibilities

  • Sales Order Processing and Cancellations
    • Oversee the sales order processing queue and deal desk queue, ensuring all tasks are completed within SLA.
    • Oversee the cancellation processing queue, ensuring tasks are completed within SLA.
    • Delegate tasks to the wider team and monitor performance.
    • Handle billing escalations and ensure timely resolution.
    • Maintain key monthly billrun tasks.
  • Finance Operations, Sales Enablement & Training
    • Train and enable teams on process changes or enhancements.
    • Create clear and user-friendly documentation that supports consistent adoption.
    • Provide supportive Finance Operations guidance—coaching, troubleshooting, and promoting best practices.
  • Department Reconciliation
    • Carry out monthly revenue fishing to ensure accuracy in billing audits.
    • Produce MI on key departmental tasks to support analysis and informed decision-making.
  • Data Maintenance
    • Keep all systems up-to-date with accurate billing information, maintaining audit-ready data.
    • Drive system adoption, track usage, and continuously improve internal workflows.
    • Surface trends and insights to support leadership with data-driven decisions.
  • Maintaining Key Functions Within SLA
    • Ensure core functions under your remit are consistently delivered within SLA.
    • Support monthly billrun closure within strict deadlines.
    • Manage escalations from the wider team and provide solutions promptly.

Working Hours & Location

Hybrid role: In-office Tuesdays and Thursdays at our London Bridge head office. EMEA hours: 9:00 AM – 5:30 PM. This position is a 1 year maternity cover.

What Are We Looking For From You?

Must-Haves

  • 3+ years in Finance Operations
  • Excel/Google Sheets wizard (pivot tables, VLOOKUPs, charts—yes please)
  • Strong grasp of sales order processes and enablement strategies
  • Experience with problem solving
  • Excellent communicator, trainer, and documenter
  • Skilled stakeholder manager with the ability to gather requirements and align priorities
  • Proactive, solutions-oriented, and always asking "how can we make this better?"
  • A strong attention to detail
  • Ability to work to tight deadlines and commitment to delivering quality work is essential
  • Professional and passionate about providing great customer service
  • Confident using IT systems and will have experience of working with data inputting

Nice-to-Haves

  • Experience SAGE 200
  • The ideal candidate will have between 1-3 years industry experience
