Detailed job description and main responsibilities:

  • Manage Endoscopy administration.
  • Develop and lead the clerical team ensuring effective and efficient service.
  • Act as a resource person for IT systems within Endoscopy.
  • Manage the booking of Endoscopy lists.
  • To be responsible for ensuring medical records are managed as per Trust Policy.
  • Provide a high quality service to meet corporate objectives.
  • Day to day coordination of staff, support change and improvements.
  • Manage all aspects of the Endoscopy clerical service.
  • Responsible for day to day review of workload and problem solving within the clerical team.
  • Manage electronic computer diaries.
  • Develop a flexible workforce able to cope with changing workloads.
  • Record and report monthly waiting times, reporting changes in capacity or demand.
  • Manage list utilization.
  • Manage list validation ensuring procedures are accurately listed and coded.
  • To accurately record DNAs.
  • To set and maintain stock levels of stationary.
  • Act as the lead within the Endoscopy Department for Display Screen Equipment.
  • Ensure that the 18 week pathway from patient referral to definitive treatment is understood by all clerical staff and adhered to.
  • Manage new ways of working to improve efficiency.
  • Manage staff sickness, annual and maternity leave.
  • Manage clerical staff appraisals.
  • Develop team objectives.

Person specification:

Experience:

  • Essential criteria: Experience working as a Waiting List Manager.
  • Desirable criteria: Experience working in an Endoscopy Unit or equivalent; experience of staff/office management.

Knowledge:

  • Essential criteria: Understanding of cancer, diagnostic and 18 week national rules & targets.

Technical Skills:

  • Essential criteria: Hospital Systems – eCamis / eWLM / eOPS / HICSS/eRoster.
