Role Purpose

The Move Coordinator role is a multifaceted position within the Moves, Adds & Changes (MAC) service line inside Integrated Facility Management (IFM).

The main function is to coordinate the logistics of client team moves—within an office or between sites—planning and executing each move in close collaboration with multiple service lines, while also managing accurate employee location data and updating floor plans on the Space & Occupancy platform (FMS).

The coordinator reports to the Regional Facilities Manager and MAC Operations Manager and works with the MAC Program team, Occupancy Planning, local IFM teams, and other stakeholders following agreed processes and procedures.

The responsibilities cover the local country/area of assignment and may extend to regional support across EMEA.

Occasional domestic and international travel may be required.

  • Plan and coordinate team moves of varying scope, size and complexity in close collaboration with stakeholders.
  • Prepare move communication plans, move lists and locker strategy in cooperation with relevant teams.
  • Accurately and timely plan resources needed for each move with local teams and move vendors.
  • Conduct site inspection and inventory to ensure all equipment, team items, furniture and other assets are accounted for, properly packed and labeled.
  • Engage with the client to understand their team’s requirements for workstation setups and other needs.
  • Manage and coordinate move vendor deliveries during the moves.
  • Keep management and stakeholders informed of progress and any potential issues, such as last‑minute changes or logistical challenges.
  • Build and develop relationships with key partners (occupancy planning, local facility management teams, security, IT, move vendors) to ensure smooth collaboration and delivery of projects.
  • Use Space & Occupancy platforms and dashboards to perform employee location data audits and management, in line with processes and KPIs for accurate data.
  • Perform timely and accurate audits and updates of floor plans according to the process.
  • Handle MAC related trouble tickets promptly and accurately, in line with SLAs.
  • Support move projects, data management and audits primarily in the country/area of assignment and regionally when needed—remotely or on site.
  • Required Qualifications and Experience
  • Strong organizational and project management skills.
  • Excellent time‑management skills and ability to coordinate multiple projects simultaneously.

  • Excellent written and verbal communication skills.
  • English language proficiency C1 or higher.

  • Preferred: previous vendor management and stakeholder relationship experience.

  • Preferred: previous data management or auditing experience.
  • Proficiency in Microsoft Office tools and familiarity with project management tools and dashboards (eg Corrigo, Asana, Smartsheet, ticketing systems).
  • Domestic and international travel ability.
