The Executive Assistant is responsible for providing high‑impact administrative and operational support to three senior executives in the Information Technology organization. This role ensures the leaders can focus on strategic priorities by managing complex calendars, coordinating cross‑functional meetings and events, handling sensitive communications, and driving operational rhythm across globally distributed teams. This position reports to the Vice President, Digital, Data & AI, and will be an on‑site role based in the UK.

What you will do:

  • Own the calendars and schedules for three executives across multiple time zones — resolve conflicts, protect prep time, and make sure the right meetings get priority.
  • Run the operating rhythm for leadership teams, including recurring meetings, quarterly reviews, and governance cadences. This means agendas, pre‑reads, action tracking, and making sure things actually get followed up on.
  • Handle travel, expenses, finance management tasks and event logistics end to end, covering international travel coordination, budget management, offsites, workshops, and team events.
  • Act as the operational glue within the team — triaging requests, routing information, maintaining distribution lists and shared trackers, and flagging anything time‑sensitive before it becomes a problem.

Who you are:

  • Bachelor’s degree or equivalent professional qualification.
  • 2 years of experience as an executive assistant, senior administrative professional, or chief of staff supporting VP‑level or above leadership in a matrixed, global organization.
  • Proficiency in Microsoft 365 (Outlook, Teams, PowerPoint, Excel, SharePoint, OneDrive) with demonstrated ability to build polished executive‑level presentations and manage complex shared calendars.
  • Experience supporting multiple executives simultaneously across different functional areas or business units.
  • Demonstrated experience coordinating international travel logistics and managing corporate expense reporting systems (e.g., Concur or equivalent).
