Reporting to: Operations Manager - Croydon Estate

Responsible for: Supporting the General Manager and Operations Manager in delivering operational management for the Croydon Estate and improving the potential of the retail centre with a focus on asset performance, health & safety, service partner management and budgetary control.

Primary Purpose

To support the team in delivering top‑notch operational initiatives, ensuring smooth day‑to‑day functions and contributing to the overall success of the retail environment. Requires strong organisational skills, attention to detail and a passion for customer service.

Key Objectives

  • Implement and maintain operational procedures across the shopping centre.
  • Support regular centre inspections and liaise with retailers to resolve issues promptly.
  • Help manage service charge budgets and contribute to financial reporting.
  • Coordinate with contractors and vendors to meet JLL’s standards.
  • Assist with sustainability initiatives and energy‑efficient practices.
  • Assist in organising safety drills and emergency preparedness.
  • Maintain centre management documentation and reports.

Key Responsibilities

  • Deputise for the Operations Manager in their absence.
  • Act as Duty Manager when required.
  • Oversee and support delivery of all operational and facilities management for the asset.
  • Ensure compliance with insurers’ requirements.
  • Liaise with JLL’s wider IFM team.
  • Prepare and deliver operational reports.
  • Maintain emergency planning and business continuity plans.
  • Support scenario‑based training for emergency preparedness.
  • Update and issue the Occupiers Handbook.
  • Oversee health and safety induction for new tenants.
  • Coordinate major works with the landlord.
  • Ensure compliance with the managing agent’s Working Practices Manual.
  • Report accidents and incidents, including insurance forms.
  • Motivate contractors to meet standards.
  • Assist in shop fit approvals.
  • Liaise with owner’s representatives when required.
  • Foster good relationships and communication with tenants.
  • Perform any other duties reasonably requested by the General Manager.
  • Support procurement, invoice coding and approval of service charge invoices.
  • Work with JLL to meet health, safety, environmental and welfare regulations.
  • Assist clients, letting professionals and representatives with transactions and tasks.
  • Act as a brand ambassador within the wider community.

Experience, Knowledge & Qualifications

  • Strong organisational and time‑management skills.
  • Excellent written and verbal communication.
  • Proficiency in Microsoft Office Suite.
  • Detail‑oriented with a problem‑solving mindset.
  • Ability to work effectively in a fast‑paced retail environment.
  • Customer‑service orientation and positive attitude.
  • Prior experience in retail or shopping centre management (ideal).
  • Knowledge of retail operations and tenant relations.
  • Familiarity with sustainability practices in retail.
  • Experience with property management software.
  • IOSH Managing Safely certification or equivalent.
  • Understanding of health and safety regulations in public spaces.
