This hybrid administration and governance role is within a medium‑size team servicing a broad spectrum of client schemes and structures, both private and publicly listed. The role supports the Team Manager in ensuring efficient team operation, adherence to Apex policy and procedures, and achievement of service level agreement targets. The incumbent builds effective relationships at all levels and manages a portfolio of clients. A sound knowledge of Company Secretarial tasks (and overarching fund administration processes) and applicable legal and regulatory frameworks, including anti‑money laundering regulations, is essential.
Key Responsibilities:
- Ensuring work complies with fund and corporate documentation, regulatory requirements and AML regulations.
- Assisting the Team Manager with supervision, monitoring and appraisal of the team.
- Adhering to company procedures at all times.
- Promoting effective relationships between Apex and its clients.
- Building relationships between team members and other departments.
- Motivating, empowering and developing reports.
- Deputising during line manager absences.
- Managing and coordinating workloads of own team and others.
- Training and supporting team members on day‑to‑day deliverables.
- Overseeing quality control and meeting time‑oriented deadlines.
- Ensuring high standards in outbound correspondence and presentations.
- Confidently liaising with clients, directors and service providers.
- Communicating company secretarial and fund administration issues to key client personnel.

Technical:
- Understanding, assisting, and executing delegated elements of new business processes.

- Assisting client boards on governance matters and regulatory developments.
- Ensuring client policies and corporate documents are updated with regulatory or statutory changes.
- Co‑ordinating and arranging board meetings of general partners, listed companies and others, ensuring timely dispatch of AGMs, proxies and notices.
- Maintaining high quality and process control for meetings.
- Attending board meetings and taking minutes and presenting reports.
- Assisting smooth running of company secretarial and fund administration elements of investment, call and distribution processes, including board preparation, minutes, notices.
- Attending internal meetings to establish tasks and deadlines for investment or disposal recommendations.
- Reviewing and updating team secretarial and fund administration procedures.
- Assisting with ad‑hoc projects as required.
- Proactively raising issues with senior management and fostering a solution‑driven culture.
- Reinforcing senior management messages and positive change throughout the team.
- Promoting a risk‑management culture and highlighting operational risk improvement opportunities.
- Any other duties within the role’s scope.
Skills Required:
- At least 3 years in a financial institution, preferably in private equity.
