To provide a comprehensive and efficient administrative service to the Food & Beverage team. To manage the office environment providing an exceptional guest and colleague experience, by maintaining office essentials, coordinating administrative duties and anticipating customer needs in a professional manner ensuring a seamless service experience.

Responsibilities:

  • Typing and sending all F&B department's related correspondence, menus, and other materials, including restaurant enquiries and confirmations.
  • Compose letters on behalf of the F&B team in line with Coworth Park standards.
  • Type special menus for groups, promotions, etc., and other menus as required.
  • Operate and manage the computer system according to office procedures; file documents in a logical and easily accessible system.
  • Maintain an up-to-date filing system and accurate trace system.
  • Manage office supplies and hotel collateral, ensuring stationery is available and stocked.
  • Sort, date stamp, distribute and collate post for F&B team and frank all outgoing mail.
  • Answer the telephone within three rings in a friendly, courteous and efficient manner, providing accurate information to the caller.
  • Meet and greet visitors, create a warm welcome, conduct show rounds and deal with enquiries professionally.
  • Assist in research for promotions, projects and competitor analysis.
  • Attend meetings and take minutes as required.
  • Ensure office, kitchen and reception areas are kept tidy and clean at all times.
  • Receive and coordinate pick up of deliveries.
  • Coordinate meeting room diary and ensure meeting room is set up accordingly.
  • Take reservations and accurately record any special requirements, payment and contact details; confirm reservations verbally and in writing ensuring special requirements are referred to; respond to all external and internal F&B enquiries within 24 hours; ensure timely and efficient internal communication on all details to a reservation (e.g., menu and wine choice, final number of guests, menu/place card requirements) to relevant departments.
  • Comply with all statutory and company health and safety, fire, bomb and security regulations; ensure job required certificates are kept up to date.
  • You may be asked to complete other tasks and duties as required and may need to adjust hours to cover business needs.

Qualifications:

  • Hospitality background.
  • Previous experience within an operational role.
  • Strong administration skills with office management experience.
  • Proficient in MS Office.
  • Previous experience in Opera and Delphi.
  • Knowledge of food & beverage.
  • Excellent written and spoken English.
  • Good organisational skills; ability to prioritise work load and work to deadlines within a pressurised environment.
  • Takes initiative; self-starter; immaculately presented; team player.
  • Experience of taking minutes at meetings.
