What you'll do
You’ll love what you do and take pride in delighting our guests and our team: You will be responsible for ensuring the smooth operation of the Global Contact Centre through directly supporting the Director with a wide variety of administrative tasks. You will liaise with guests/clients/suppliers and with other departments and hotel personnel in all Dorchester Collection hotels, on behalf of the Director, Global Contact Centre. Diary management is an important element of this role, and attention to detail and a proactive approach is essential. You will carry out all GCC leadership administrative activities such as organising travel, managing expenses, preparation with documents and supporting with daily office tasks such as managing visitors, welcoming new starters and ensuring cleanliness of our shared spaces. Financial acumen is important to overseeing all purchase orders and ensuring invoices are paid in a timely manner, as well as managing budgets. Preparation of documents including letters, emails and PowerPoint presentations on behalf of the Director is a central part of the role. As the Administrative Assistant at our Global Contact Centre, you’ll have the opportunity to bring these to life and continue to create our legacy. You will act as one of the first points of contact for the Global Contact Centre and representing the Director, building and maintaining meaningful relationships and inspiring confidence. Handle sensitive interpersonal and financial information with the highest levels of confidentiality. Role may involve occasional international travel.
What you'll bring
You have a talent and passion for administrative work with high attention to detail and the ability to manage multiple complex projects and assignments, while able to meet deadlines with quality results. Professional, personable team player with a curious nature and adaptability to change. Outstanding communication skills, both written and verbal with a detail-oriented approach to proof-reading, English is the primary language used in our office. You can communicate effectively in English, both written and verbal. Knowledge of French, Italian, Arabic and/or Japanese is advantageous, but not required. Advanced computer skills in Word, Excel, and PowerPoint. Positive, solutions-focused approach, good listening skills and the ability to anticipate business needs.
