Reports to: Principal Director & Executive Director

Scope

We are a thriving family-run real estate business, seeking a dedicated and experienced Executive Assistant to support a Principal Director in both professional and personal capacities. This role is pivotal in ensuring the smooth operation of the Principal Director’s day-to-day activities, which includes managing a complex diary, coordinating extensive travel (both business and personal), and handling a variety of day-to-day office and household tasks. The ideal candidate will have a strong work ethic, excellent organisational skills, and the ability to manage multiple responsibilities with discretion and professionalism. Experience in the real estate industry is beneficial although not a prerequisite. We value candidates who are proactive, detail-oriented, and capable of managing both business-related tasks and personal tasks with equal finesse.

The Executive Assistant will act as a key liaison between the Principal Director and various stakeholders, maintaining effective communication and ensuring that all activities are aligned with the company’s goals. The role also involves coordinating family and household-related duties, making it essential for the candidate to be adaptable and flexible in managing a dynamic work environment. As this is a fast-paced environment, the ideal candidate must be able to keep up with the demands of a busy schedule and handle shifting priorities efficiently.

Key responsibilities

  • Executive Support – Manage the Principal Director’s calendar, schedule meetings, and prepare necessary documents.
  • Travel Coordination – Organise detailed travel itineraries, including flights, accommodation and transportation for both business and personal travel
  • Communication Management -Act as the primary contact for internal and external communications on behalf of the Principal Director
  • Documentation and Reporting – Prepare and edit reports, presentations, and maintain accurate records.
  • Meeting Support -Attend meetings, take notes, and follow up on action items.
  • Confidentiality -Ensure discretion and confidentiality in all matters related to the Principal Director and the business.
  • Problem-Solving – Anticipate needs and offer solutions proactively to support the Principal Director’s efficiency.
  • Adaptability – Thrive in a fast-paced environment, manage multiple priorities and adjust to changing needs.
  • Office Management – Office admin, organising team lunches, outings, socials and corporate events.
  • Personal Assistance – Handle personal errands and household management tasks for the Principal Director and their family.

Skills and experience

  • Minimum of 5 years as an Executive Assistant or in a similar role; real estate experience is a plus but not required.
  • Exceptional ability to manage multiple tasks, prioritise effectively, and maintain attention to detail.
  • Excellent verbal and written communication abilities for interacting with internal and external stakeholders.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with scheduling and project management tools.
  • Proven experience in managing complex travel arrangements and itineraries.
  • Ability to adapt to a fast-paced environment and handle shifting priorities with ease.
  • Proactive approach to identifying issues and offering practical solutions.
  • Demonstrated ability to handle sensitive information with the utmost confidentiality.
  • Strong time management skills to ensure efficient support of the Principal Director schedule and tasks.
