Role Summary

The Office Manager (Business Operations) is responsible for ensuring the smooth day-to-day operations of DOHE Europe (London). This role works closely with our COO, HQ and external partners and covers general business operations, basic accounting support, HR administration, and internal systems coordination.

Key Responsibilities

  • Office & Business Operations
    • Oversee daily office and business operations for DOHE Europe (London)
    • Act as the main point of contact for HQ and external partners
    • Manage relationships with external vendors, including accounting firms, payroll providers, and office/facilities suppliers
    • Manage office facilities across regions (access, supplies, equipment, and on-site issues)
  • Systems & Software Administration
    • Manage company software and system accounts (user setup, access control, and onboarding/offboarding)
    • Administer and coordinate access to internal tools such as Wrike, Workable, Microsoft 365 and other company used systems
    • Coordinate software subscriptions and licenses, and support basic access-related issues in collaboration with HQ or vendors
    • Maintain an up-to-date record of internal tools and user access
  • Accounting & Finance Support
    • Collect, review, and organise invoices
    • Prepare payment requests and track expenses
    • Coordinate with external accountants for month-end closing
    • Support HQ with invoice consolidation and monthly finance reporting
    • Coordinate payroll inputs (hours, changes, allowances) with finance and payroll providers
  • HR Administration
    • Prepare employment contracts and onboarding documentation
    • Maintain employee records
    • Track leave and attendance
    • Support visa-related and compliance documentation in coordination with HQ HR
    • Update company policies and manage employee benefits administration
  • Process Improvement
    • Create, maintain, and improve simple operational processes, checklists, and templates

Requirements

  • Experience in business operations, office management, or office admin role
  • Comfortable working with numbers, invoices and spreadsheets (e.g. Excel, Google Sheets)
  • Basic understanding of accounting and HR admin processes
  • Strong communication skills and able to work with international teams and external partners
  • Proactive, organised, and able to work independently in a fast-changing environment

Employment

  • Working hours: Full-time 40 hours a week
  • Location: Bishopsgate, London (onsite 5 days a week)
  • Salary: Up to £65,000 DOE
  • Contract duration: 12 months, that could lead to a Permanent role

  • Eligibility - You must be eligible to work in the host country without the need for sponsorship.
