Reporting to the Head of Contracts Management, the Contracts Coordinator will handle the daily tasks related to managing our 3PL service partners, ensuring all contractual obligations and standards are met concerning third-party logistics (3PL) services within our global organization. You will play a key role in optimizing our supply chain network and design, ensuring smooth operational flow of goods and services.
Key Responsibilities- Serve as the primary contact for all contract-related matters and inquiries, responding promptly and courteously, aiming to exceed stakeholder expectations.
- Lead routine meetings with 3PL service partners, set agendas, document minutes, and distribute actions to stakeholders.
- Reconcile weekly invoicing to ensure purchase and sales of third-party services align with contractual rates.
- Monitor and evaluate contract performance, ensuring compliance with service levels, KPIs, and contractual obligations.
- Maintain accurate and current contract documentation, ensure proper record-keeping, and manage stakeholder deadlines and anniversaries.
- Support cross-functional teams with reporting on process improvements and cost-saving initiatives, monitoring their effectiveness.
- Assist in documenting Supply Chain initiatives and business cases for internal approval in a timely manner.
- Conduct regular reviews and audits to identify risks, issues, or non-compliance, and help develop mitigation strategies.
- Collaborate with teams including supply chain, procurement, technical, and legal to understand operational needs for new contracts.
- Stay updated on industry trends, regulations, and best practices related to 3PL contracts, applying this knowledge to support contract management.
- Undertake any additional duties as assigned.
Minimum requirements include a background in Account Management and Customer Service, experience in Project or Change Management (desirable), exposure to Logistics, Supply Chain, or International Trade (desirable), and experience in FMCG (desirable). Strong communication skills, ability to prioritize, multitask, work independently, and adapt in a fast-paced environment are essential. A proactive attitude and passion for the role are also important.
