We are currently seeking an Executive Coordinator to join our team in Heston who will support our Executive Assistant due to growing workload and responsibility. As the executive coordinator you will provide high-level administrative support to the senior executives, helping to manage their schedules, communications, and day-to-day operations. The role ensures that executives can focus on strategic priorities by handling tasks such as organising meetings, preparing reports, coordinating travel, and serving as a key point of contact both internally and externally. The executive coordinator plays a vital role in keeping operations organised, efficient, and aligned with leadership goals.
Some of the key responsibilities within this role will be:
- Office suppliers: Keep on top of orders for kitchen supplies and stationary.
- Onboarding: Equipment requests, new user requests, inductions and organizing tours.
- Stakeholder Management: Support Directors with diary management and travel. Point of contact for their team.
- Travel: Management of accounts and setup including approvals, changes made to approval lines, issues and queries from travellers. Ensuring that costs are tracked and monitored.
- Diary Management: Meeting room management and booking meeting rooms offsite. Including creation of agendas and distributing ahead of meetings.
- Credit card expense reports: For directors.
- Relationships: Build relationships with teams across the business and maintain strong relationships with key stakeholders.
- Financial: Create POs and work with finance team to keep track of payments being made in a timely manner. Also monitoring credit card expense reports for directors.

What do we need from you to be successful in this role?
- Proven experience in a support or PA role.
- Demonstrate experience within diary management, travel coordination and meeting support.
- Proven experience of dealing with senior leaders and various stakeholders.
- Complete understanding of the need for discretion and confidentiality.
- Experience with using Microsoft Office Suite applications i.e. Outlook, Word and Excel.
- Good communication skills – both written and verbal and active listening.
- Attention to details.
- Adaptability to last minute changes and challenges.
- Good organisational skills.
