Dynamic Maintenance Solutions Ltd is a trusted North East maintenance contractor specialising in building services maintenance, providing both planned and reactive maintenance for a diverse client base, including schools, councils, commercial premises and healthcare facilities. Our experienced team of engineers and office staff work together to ensure clients receive reliable, compliant and high-quality maintenance services. At DMS, we are committed to delivering excellence in every aspect of our work, from the office through to site operations.
We are keen to appoint a skilled Office Administrator / Office Coordinator who will support the smooth running of the office and field operations by handling key administrative and coordination tasks. This office administration role will work closely with engineers, suppliers and internal teams to ensure accurate records, timely communication and efficient processing of operational information.
Location: Teesside, 100% office based
Hours: Monday – Friday, either 8.00am – 4.00pm or 9.00am – 5.00pm, 30 minute lunch
Salary: £22,568 – £26,436 per annum (meets the UK National Minimum Wage for the relevant age)
Key Responsibilities:
- Log new jobs accurately into the company job management system.
- Check engineers’ timesheets against job records for accuracy and compliance.
- Collate engineers’ hours and maintain a clear hours matrix for reporting and payroll purposes.
- Process supplier invoices and credit notes in a timely manner, supporting the finance team.
- Log and match customer purchase orders against jobs and invoices to ensure accurate billing.
- Answer incoming calls professionally, directing enquiries or taking messages.
- Contact engineers and other stakeholders where necessary to support job delivery.
- Maintain general filing, scanning and electronic document management.
- Issue maintenance check sheets, certificates and compliance documents, ensuring correct documentation is provided to clients and engineers.
- Assist with ad hoc administrative tasks to support the Office Manager and wider team.
Skills & Experience:
- Previous administration experience, ideally in a service, facilities management, maintenance or operations environment.
- Strong organisational skills and excellent attention to detail.
- Good communication skills, both written and verbal.
- Proficiency with Microsoft Office applications including Outlook, Word and Excel.
- Ability to manage multiple tasks, prioritise work and meet deadlines.
