About the role

As a Board and Committee Assistant, you will move beyond basic administrative duties to support the DMGT Board and its various Committees. Reporting directly to the Company Secretary, you will gain valuable exposure to the decision-making processes of senior executives and Non-Executive Directors. Based in London, you will develop a specialized skill set, from mastering board-level software to coordinating international logistics and high-profile corporate events. Main Responsibilities
- Governance & Committee Management
- End-to-End Meeting Oversight: Manage all logistical and operational aspects for the Board and ten subsidiary Committees across both domestic and international locations.
- Documentation Excellence: Oversee the production of uniform, high-quality Board packs, ensuring all documentation meets corporate standards.
- Digital & Physical Distribution: Coordinate the secure dissemination of sensitive papers via Diligent Boardbooks and manage the production of physical packs when required.
- Strategic Scheduling: Develop and maintain the annual Board of Directors calendar, incorporating all corporate events and statutory milestones.
- Records Management: Act as the custodian for Board and Committee records, maintaining precise electronic and paper-based filing systems for minutes and associated data.
- Process Updates: Collaborate with the Company Secretary to review and refine standing agendas and Committee Terms of Reference.
- Senior Liaison: Serve as a dedicated point of contact for Non-Executive Directors (NEDs), managing complex requests, ad-hoc meetings, and inquiries.
- Global Concierge & Logistics: Facilitate comprehensive travel management for the Board, including international flights, accommodation, transfers, and detailed itineraries.
- Deadline Coordination: Lead communications with key stakeholders and presenters to ensure the timely submission of materials in line with Board cycles.
- Corporate Hospitality: Lead the organization of high-profile annual Board dinners for senior executives across the Group’s international operating companies.
- Financial Administration: Oversee the accurate and timely processing of Board and Committee fees.
- On-site Coordination: Ensure all meeting environments are professionally prepared and equipped for Board and Committee sessions.
- Team Collaboration: Provide support to the Company Secretarial Assistant, ensuring seamless departmental coverage during absences.

- Technical Proficiency: Intermediate knowledge of MS Office (Outlook, Word, Excel, PowerPoint) and experience with board management software (e.g., Diligent).

Role Requirements
- Standard Operating Hours: Core business hours are 9:00 am to 5:30 pm, inclusive of a one-hour lunch break.
- Operational Flexibility: Candidates should possess the flexibility to work outside of core hours as required by the Board’s meeting cycles and workload demands.
- Office Presence: A minimum of four days per week based in the London office is required to ensure seamless coordination with the Company Secretary and senior stakeholders.
- International Travel: This role involves international travel to support global operations, including attending five international Board meetings per year.
