Description
We are looking for a proactive and detail-oriented HR & Compliance Administrator who is passionate about maintaining high standards in HR compliance and service delivery. The ideal candidate will be an excellent communicator , highly organised , and able to work collaboratively across all levels of the organisation.
They will play a critical role in ensuring HR policies, procedures, and compliance measures are met in accordance with UK employment laws , CQC regulations , and DMC Healthcare’s internal standards . The successful candidate will also support ad hoc projects to enhance HR operations and systems.
The role
As an HR & Compliance Administrator at DMC Healthcare, you will support the HR department in ensuring compliance, integrity, and best practices in HR operations, particularly in onboarding, employee record management, regulatory compliance and supporting HR-related ad hoc projects to enhance processes.
You will work closely with the CFO and other stakeholders to ensure the business remains aligned with healthcare regulations, employment law, and industry best practices.
Additionally, you will play a key role in managing HR systems , including Planday (HRMS) and Pinpoint (ATS & onboarding platform) .
You will also play a key role in onboarding new employees , ensuring HR systems are updated , managing employee records , and supporting the organisation’s compliance with CQC and GDPR regulations .

HR Compliance & Administration
- Ensure pre-employment compliance and onboarding processes meet UK employment regulations and CQC requirements .
- Conduct pre-employment checks , including DBS screening, right-to-work verifications , and professional referencing.
- Monitor HR compliance data , ensuring all required documentation is up to date.
- Maintain accurate and secure employee records within Planday (HRMS) and Pinpoint (ATS & onboarding system) .
- Support policy updates and communicate regulatory changes to employees as required.
- Ensure HR documentation and records comply with GDPR and employment law .
- Support with the ongoing development and improvement of HR processes within Planday (HRMS) and Pinpoint (ATS and onboarding system).
Onboarding & Employee Record Management
- Oversee the new starter process , ensuring all required documentation is completed and securely stored.
- Maintain employee records to align with audit and compliance standards .
- Monitor and manage Right to Work documentation, initiating renewals when required.
- Handle employee reference requests in compliance with GDPR regulations .
- Manage archiving and record-keeping processes for compliance audits.
HR Operations & Reporting
- Manage the HR inbox , responding to employee queries and escalating matters when necessary.
- Generate monthly compliance reports and track any missing documentation.
- Assist with HR-related reporting, audits , and data analysis to support compliance tracking.
- Support the implementation of new HR processes to improve efficiency.
- Provide general HR administrative support to ensure smooth operations within the department.
Regulatory Compliance & CQC Standards
- Ensure DMC Healthcare remains CQC compliant , supporting audit preparations and documentation updates .
- Work with internal teams to ensure policies and procedures align with industry best practices.
- Support internal and external compliance audits , ensuring documentation is available for review.
Process Improvement & Systems Support
- Assist in ad hoc HR projects to improve processes and efficiency.
- Support the optimisation and usage of Planday (HRMS) and Pinpoint (ATS & onboarding platform) .
- Work with stakeholders to streamline onboarding, HR compliance tracking, and reporting .
- Contribute to process documentation and continuous improvement initiatives across HR functions.
Skills, knowledge and expertise
Essential
- Understanding of UK employment law and HR compliance regulations .
- Experience working with HR systems , preferably Planday (HRMS) and Pinpoint (ATS & onboarding platform) .
- Strong attention to detail and organisational skills .
- Ability to work independently and proactively in a fast-paced environment.
- Excellent written and verbal communication skills.
- Problem-solving mindset with a “can-do” attitude.
- Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint) .
Desirable
- Experience within the healthcare sector , particularly in CQC compliance .
- CIPD Level 3 qualification or working towards one.
- Previous experience in HR audits, reporting, and compliance management .
