We are seeking a proactive and highly organized Administrative Support professional to join our London studio on a part-time basis. This is a varied, business-wide role at the heart of our day-to-day operations, supporting reception, administration, and studio coordination activities. The successful candidate will play a key role in ensuring the smooth running of the office, maintaining front-of-house excellence, and providing essential support across teams. Working closely with the studio management team, this position offers the opportunity to take ownership of core administrative functions while contributing to a collaborative and fast-paced working environment.

Tasks & Responsibilities

  • Reception Role (Business-wide role)
    • Acting as the first point of contact for the business, this role ensures a professional front-of-house presence and smooth day-to-day communication across teams and offices.
    • Switchboard (coordination with Leeds)
    • Managing the reception inbox
    • Managing the secretarial inbox
    • Dealing with outgoing post (when required)
    • Dealing with couriers
  • General Administration (London)
    • Supporting the London studio’s daily operations, this role provides efficient administrative assistance and coordination across a range of activities.
    • General admin support within the studio
    • Booking train tickets and accommodation for awards and events (following PO approval)
    • Booking train tickets and accommodation for project-related business travel (following PO approval)
    • Ordering consumables in conjunction with accounts (e.g. stationery and office supplies).
  • Facilities (London)
    • Organising access cards
    • Topping up and cleaning the coffee machine
    • Supporting liaison with management company and landlord.
  • Events and BD (Business-wide)
    • Assisting in organising BD events such as BCO, MIPIM, and UKREiiF
    • Preparation and submission of POs to accounts.
  • Ad Hoc Support
    • Ad hoc support as necessary during the working day, coordinated with the studio management team.
