We are a small family run business that operates and manages residential care homes and several rented properties, managing the accounts and finances from our small head office in Leicester.
The Administrative Officer plays a crucial role in ensuring the smooth operation of our organisation. This position involves managing various administrative tasks, supporting financial processes, and maintaining accurate records. The ideal candidate will possess strong organisational skills, attention to detail, and proficiency in accounting software. This role is essential for facilitating efficient operations within the office environment.
Responsibilities:- Using Xero accounting software to raise invoices, process income including cash allocation, complete banking and take appropriate action in relation to debt management.
- Liaising with Local and Health Authorities to ensure appropriate information and payment is received. This will also be the case for private funded placements.
- Ensuring correct and complete documentation including Terms and Conditions are provided and recorded for all admissions.
- Safeguarding monies on behalf of residents and funds raised by the home, recording and reconciling transactions to bank statements.
- Ensuring effective administration of purchasing and supplier payments, management of petty cash transactions and replenishment.
- Processing of employee related information and payroll to ensure staff information and payments are accurate and timely.
- Providing clerical support to the Home Manager, including letter writing, memos and local management reporting.
- Maintaining a well-ordered filing system, stationary replenishment and personnel file management.
- Managing all utility, waste, maintenance and other relevant contract accounts to ensure the correct level of cover is in place.
- Proven experience in an administrative role, preferably within the financial services sector.
- Proficiency in accounting software, preferably in Xero.
- Strong understanding of accounts payable processes and data entry skills.
- Excellent organisational skills with a keen attention to detail.
- Ability to work independently as well as part of a team in a fast-paced environment.
- Strong communication skills, both written and verbal.
- A proactive approach to problem-solving and the ability to manage multiple tasks effectively.
