Administration Assistant

Overview

Our client is seeking a highly organised and proactive Administration Assistant to support their Advancement team. This role provides vital administrative support across philanthropy and partnership activities, helping to ensure operational efficiency and excellent service to supporters.

The ideal candidate will have strong attention to detail, professional communication skills and the ability to work collaboratively within a fast-paced environment. This role is part-time and permanent, offering flexibility and the opportunity to contribute to meaningful work within the arts and cultural sector.

Responsibilities

• Provide high-level administrative support across the Advancement team.

• Process payments such as donations and ticket transactions with accuracy and confidentiality.

• Prepare and manage sensitive correspondence with supporters and stakeholders.

• Maintain and update supporter records, including income recording within the CRM system.

• Manage guest lists, invitations and progress reports for supporter engagement.

• Assist with the delivery of supporter benefits and stewardship activities.

• Coordinate mailouts, printed materials and administrative logistics.

• Support the planning and delivery of events and external activities.

• Collaborate with colleagues across departments, providing flexible administrative support as required.

• Ensure all tasks align with organisational values and contribute to a positive supporter experience.

Requirements

• Experience processing payments and handling confidential correspondence.

• Experience maintaining databases and recording income (experience with CRM systems such as Tessitura is desirable).

• Proven ability to manage guest lists, invitations and reporting processes.

• Experience coordinating mailouts, print production or supporter communications.

• Strong organisational, interpersonal and communication skills.

• Excellent written skills and attention to detail.

• Strong working knowledge of Windows-based software, including Outlook and Excel.

• Ability to work effectively in a fast-paced team environment.

• Interest in the arts, culture or charitable sector and alignment with organisational values.

• Willingness to support occasional venue or tour-related activity as required.

• Salary: £25,000 per annum (pro rata).

• Part-time, 21 hours per week, with flexible working arrangements.
