Our client is an established Fine Art Shipper based at Heathrow who due to increased expansion have an exciting new opportunity available for an Executive Assistant to support the Board of Directors and senior Management Team.
Job Overview: The successful Executive Assistant will provide comprehensive secretarial and administrative support to the Directors and other members of the management team as required. This role demands exceptional organizational skills, attention to detail, and the ability to handle multiple tasks efficiently. It would be advantageous for the successful candidate to have previous art or freight forwarding industry experience.
Salary - £40k-£45k depending on experience. Office Based Feltham Middlesex (Post probation 1 day pw WFH) Hours Monday - Friday 09.00-18.00
Key Responsibilities:
- Provide full secretarial support to the Directors and management team.
- Compose and manage correspondence and emails efficiently.
- Ensure all client requirements are addressed or escalated promptly to meet goals and objectives.
- Understand and adhere to company policies and processes in both client interactions and internal operations.
- Take and transcribe minutes of meetings, including audio dictation as required.
- Serve as a liaison with colleagues, clients, and suppliers to facilitate effective communication.
- Perform personal tasks as assigned by the Directors.
- Manage travel arrangements, including booking, aiding, and evaluating travel requirements while considering cost analysis.
- Assist with event management, including planning and organising company events and employee engagement activities.
- Support facilities management by liaising with suppliers, booking maintenance visits, and managing facility inquiries via mailbox.
- General administrative duties, such as filing, maintaining project files, and organizing the working environment systematically.
- Screen telephone calls, inquiries, and requests, handling them appropriately when possible.
- Support marketing with planning and executing campaigns, events, and social media.
Qualifications:
- Proven experience as an Executive Assistant or in a similar role.
- Excellent organisational and time management skills.
- Strong written and verbal communication abilities.
- Ability to manage confidential information.
- Advantageous for the successful candidate to have previous art or freight forwarding industry experience.
