About The Role

We are seeking a highly organised, patient-focused individual to join our UK team as a Patient Coordinator. If you have a passion for healthcare, excellent communication skills, and a proactive approach, this is your opportunity to play a crucial role in shaping the patient experience.

Your Mission

  • Provide a seamless, compassionate patient experience at every touchpoint
  • Ensure clinic administration is managed efficiently and in compliance with UK healthcare standards
  • Act as a key liaison between patients and healthcare professionals to facilitate smooth communication and care delivery
  • Drive improvements in patient coordination and administrative processes

What You’ll Own

  • Ensure Smooth Clinic Operations: Manage patient enquiries, oversee administrative tasks and support clinic workflows in line with Standard Operating Procedures (SOPs)
  • Support Patient Journeys: Assist new and returning patients, ensuring a seamless experience from enquiry to post-consultation support
  • Manage Documentation: Process new patient documentation accurately, ensuring compliance with regulatory and GDPR requirements
  • Coordinate Schedules: Efficiently manage clinic appointments and liaise with healthcare professionals to maintain a streamlined workflow
  • Facilitate Compliance: Adhere to clinic procedures and uphold strict confidentiality in all patient interactions
  • Order and Track Supplies: Ensure necessary materials for clinic operations and clinicians are available as needed
  • Handle Escalations: Act as the first point of contact for patient complaints and ensure prompt resolution
  • Support Multi-Disciplinary Team (MDT) Meetings: Attend meetings and ensure MDT decisions are implemented effectively
  • Maintain Training Compliance: Keep updated with mandatory training requirements to support continuous professional development
  • Liaise with the Patient Care team and work closely with the Head of Medical Operations

What You’ll Need

  • Healthcare Administration Experience: Ideally, you have worked in a medical cannabis clinic or healthcare setting with patient coordination responsibilities
  • Customer Service Expertise: You have experience in a patient or customer-facing role with the ability to communicate effectively and respectfully with clients and staff
  • Understanding of the Healthcare Environment: You have a strong understanding of patient pathways, clinical standards and regulatory requirements
  • Tech-Savvy: You have experience using Patient Management Software and can quickly learn new systems
  • Strong Attention to Detail: You are highly accurate in handling documentation and administrative tasks
  • Thrives in Fast-Paced Environments: You are adaptable, resilient and capable of working independently while delivering results
  • Strong Problem Solver: You can navigate challenges with professionalism and confidence
  • Strong Written and Verbal Communication: You can convey information clearly and effectively to both patients and team members
  • Clinical Knowledge: Basic knowledge of medical terminology and medicines would be advantageous
  • Higher Education and Additional Qualifications: A degree or further qualifications in administration would be advantageous
