As a Certification & Training Coordinator, you will play a key role in maintaining accurate certification and medical records for Officers and Crew, ensuring compliance with maritime regulatory requirements. Working closely with colleagues in London and Celebration, Florida, you will contribute to operational excellence through your attention to detail, strong organizational skills, and commitment to supporting unforgettable experiences for our guests and crew.
This role will be based in our London Hammersmith office, 4 days a week, with either a Monday or Friday working from home. This role is offered on a fixed-term contract till end of September 2027.
What You Will Do
- Provide critical administrative support to ensure that all shipboard personnel maintain accurate safety, certification, medical, and training records in line with maritime and company standards.
- Perform accurate data entry of all STCW Safety Certification for Officers and Crew.
- Enter and maintain all national seafarer medical records for Marine and Engineering Officers and Crew.
- Support shipboard teams by making and tracking all Bahamas Maritime Authority Endorsement applications for Marine and Engineering Officers' Certificates of Competency.
- Process all Marine and Engineering Officers' Professional Training application forms.
- Reconcile training-related costs charged to the Disney Cruise Line UK Office CTA card and resolve queries with external vendors.
- Process discharge certificates requiring endorsement by The Bahamas Maritime Authority and/or Bahamian High Commission.
- Submit shoreside short-term assignment/ Magical Contract requests as appropriate for Marine and Engineering Officers attending Professional Training or CoC Revalidation training.
- Manage the application and tracking process for Bahamian Seaman's Books.
- Assist the HR Director and team with general administrative support, including travel arrangements and expense accounts.
Required Qualifications & Skills
- Experience managing administrative processes and maintaining accurate records in a professional environment.
- Strong written and verbal communication skills for local and international coordination.
- Demonstrated proficiency with Excel, Word, PowerPoint, SharePoint, and HR systems.
- Organized with strong attention to detail and accuracy, including excellent follow-through on tasks.
- Ability to be flexible, proactive, highly organized, and able to easily shift priorities.
- Diplomacy, strong business acumen, integrity and ability to handle confidential information.
- Capability to work independently with limited supervision while maintaining effective collaboration with the wider team.
- Aptitude to quickly learn new systems, processes, and maritime training requirements.
Preferred Qualifications
- Previous experience in an administrative role within a shipping or cruise environment is highly beneficial.
- Knowledge of maritime training requirements and the International Convention on Standards of Training, Certification and Watchkeeping for Seafarers is highly beneficial.
