We are looking for a Team Assistant to join our Direct to Consumer (DTC) and Disney+ Team on an initial 9 month Fixed‑Term Contract! Reporting into our Executive Assistant, DTC, EMEA, the successful postholder will provide proactive and comprehensive administrative support to the Direct‑to‑Consumer EMEA team, acting as a central point of coordination across a wide range of operational and logistical activities. This role combines core administrative responsibilities with opportunities to contribute to team initiatives, events and projects. You’ll be the go‑to contact for the division, managing your priorities and ensuring a consistently high level of service delivery.
Approximately 80% of the role focuses on team‑based support, including office coordination, meeting logistics, purchasing and event planning, with 20% involving providing executive‑level assistance during periods of holiday cover, supporting senior leaders with calendar management, travel and meeting preparation. Please note: This is an office‑based role. 4 days working in the Hammersmith, London office with 1 day working from home (Monday or Friday). Join us in shaping the magic behind the scenes!
What You Will Do
- Departmental support & coordination
- Act as the primary point of contact for the DTC department, ensuring smooth day‑to‑day operations
- Welcome and assist visitors to our London office, creating a professional and friendly first impression
- Manage third‑party badge access in collaboration with the security team, ensuring all credentials are current
- Maintain and update DTC distribution lists for London and EMEA teams
- Manage the weekly DTC stand‑up meetings, coordinating presenters and logistics for a large audience (in person and virtual)
- Oversee team purchasing and reconciliation for office supplies, stationery and refreshments, either via purchase orders or department purchasing card
- Order catering and refreshments for meetings as required
- Handle all incoming and outgoing post, including courier arrangements
- Support travel bookings for DTC employees when accompanying executives
- Office management of DTC floor
- Taking ownership of the DTC floor and working closely with Facilities, IT or AV on any issues
- Manage seating plans, working closely with Facilities and other assistants as required
- Manage all DTC boardroom bookings and ensure rooms are presentation‑ready
- Event Support
- Assist with planning and execution of internal events including offsites, showcases and department socials
- Book venues and coordinate logistics including catering, equipment hire and AV/IT support
- Prepare delegate packs
- Provide on‑the‑day support to ensure events run smoothly
- Executive visit coordination
- Support international DTC executives during office visits
- Confirm office access and liaise with Facilities and Security teams
- Arrange catering, meeting rooms, AV/IT support and assist with car or restaurant bookings as required
- Executive Support during holiday cover
- Provide high‑level support to SVPs or VPs during assistant absences
- Manage calendars, meeting logistics and agendas
- Organise travel including flights, hotels, visas and itineraries
- Handle queries and requests on behalf of the executive
- Prepare weekly reports and meeting materials
Required Qualifications & Skills
- Minimum 2 years’ experience in an administrative or assistant role (Team Assistant, Office Coordinator, PA or similar)
- Previous exposure to supporting senior leaders (directly or through cover) with diary management, travel coordination and meeting preparation
- Experience managing a broad range of team‑based administrative activities such as purchasing, office coordination, meeting logistics and event support
- Comfortable working in a fast‑paced environment with competing priorities
- Strong proficiency in MS Office (Outlook, Word, Excel, PowerPoint) and confident with digital collaboration tools (Teams, SharePoint, etc.)
- Excellent organizational and time‑management skills; able to manage multiple tasks simultaneously
- Strong written and verbal communication skills, with the ability to interact confidently across all levels of the organisation
- High attention to detail and accuracy in administrative processes
- Able to handle sensitive and confidential information with discretion
