Location: Based in Belfast HQ with travel and support provided across Northern Ireland

Pay Band: 3 - £24,230.06

Hours: Fixed Time 35 hours per week

Contract: Fixed term to 31 March 2027 (subject to funding)

The post holder will provide programme-level support across Disability Action's Employment & Skills services, focusing on coordinating and maintaining real-time data across multiple sites and teams to support operational delivery, self-evaluation and quality improvement activities, regular submissions and reporting to management teams and funders, and stakeholder and employer engagement.

Key Responsibilities:

  • Operate, update and maintain participant databases and shared systems, ensuring ongoing accuracy, confidentiality, claim and audit readiness.
  • Coordinate the collection of data and feedback for self-evaluation and quality improvement activities, in collaboration with delivery and support teams and managers.
  • Support and coordinate effective submissions and reports to managers and funders, including uploading/downloading documents via secure Government Gateways and following GDPR protocols.
  • Contribute to the design and delivery of participant and employer surveys, focus groups, and other engagement activities to support regular service-wide self-evaluation and continuous improvement planning.
  • Use Microsoft Office (including Excel) to create, prepare and submit data summaries, claims documentation, and internal and funder reports, in collaboration with service teams and managers.
  • Assist with the coordination of employer-focused activities, including contact tracking, event and/or training organisation, and follow-up.
  • Maintain shared operational calendars, reminders, and schedules to support smooth team coordination.
  • Directly support and maintain shared digital filing systems, including SharePoint, ensuring folder structures are logical, consistent, and in line with GDPR protocols and service standards and quality measures.
  • Provide administrative support to periodic operational delivery initiatives and where required.
  • Undertake other duties as may be reasonably required by Disability Action in line with the post.

Essential Criteria:

  • Experience of coordinating and maintaining sensitive data to clear protocols and systems for internal and external stakeholders.
  • Ability to plan and prioritise a varied workload to meet deadlines and support contractual obligations.
  • Experience supporting high quality service delivery and/or quality improvement planning in a multi-disciplinary or compliance focused environment.
  • Strong communication skills with internal teams, funders, and external stakeholders, both written and verbal.
  • Experience maintaining digital systems, participant records, and shared filing platforms.
  • Knowledge and understanding of Data Protection legislation and GDPR, and ability to apply these when handling confidential participant information.
  • Strong IT proficiency, including Microsoft Office and online collaboration tools.

Desirable Requirements:

  • Experience of working in programmes supporting disabled people, skills training, or employment support.
  • Knowledge of relevant legislation, including the Disability Discrimination Act, and provision for people with disabilities in NI.
