We are seeking a highly organised and proactive Office Manager to join our team. This pivotal role serves as a bridge between our UK head office and overseas project teams in Sri Lanka and India. - Oversee daily office and administrative activities across the UK and international projects in Sri Lanka and India.
- Manage workflows between the cross-functional teams to ensure seamless internal collaboration.
- Monitor overseas administrative staff to ensure productivity and strict alignment with company procedures.
- Ensure company policies, procedures, and documentation are current, compliant with ISO 9001, MSC, and all relevant regulatory requirements, and arrange mandatory staff training as required.
- Lead HR functions, including recruitment, data-protected record keeping, and processing timesheets for payroll and funding claims.
- Act as the primary point of contact for stakeholders and handle customer queries by delegating tasks to the appropriate teams.
- Support management decision-making and prepare financial documentation for external accountants regarding VAT, PAYE, and pensions.
- Coordinate promotional campaigns and support brand visibility across digital platforms.
- Support the commercialisation of R&D projects by coordinating with Innovate UK, universities, and technical teams.
- Work directly with the Group CEO on strategic projects and participate in events, conferences, and meetings.
Qualifications:
- Bachelor's / Master’s degree in a related field.
- Proven experience in office management or senior administrative roles.
- Strong analytical, organisational, coordination, and multitasking skills.
- Experience working with overseas teams and cross-cultural environments.
- Excellent verbal & written communication skills, both in English and Sinhala.
- Strong IT skills, including databases, reporting systems, project management tools, and MS Office.
- Experience supporting R&D, engineering, or technology-focused organisations.
- Knowledge of UK funding bodies and grant administration.
- Experience supporting marketing and product promotion activities.
- Familiarity with basic financial administration.
