The Corporate Services team is dedicated to customer service and hospitality by providing all employees and clients with exceptional overall experience from the moment they enter a Dimensional building. This position will provide support to the Corporate Services department through the day-to-day operation and management of the building, meeting and visitor management, and global collaboration.
The Senior Associate is responsible for ensuring the correct assistance to the business services duties such as FOH supervision and assisting the Business Services Manager on the running of the office. The Senior Associate role is particularly focused on administration tasks and duties including travel bookings, record keeping, policies and cost checks, floor layout, onboarding/offboarding and overall assistance to the Business Services Manager in all aspects of the corporate services offering.
Responsibilities- Successful monitoring and execution of all corporate essential business travel bookings for the EMEA Offices including management of travel policy and procedures.
- Supervising the FOH performance and the expected delivery of Reception & Switchboard standards in a professional and courteous manner, enhancing the client experience and setting standards for the reception and FOH team. Cover of the reception desk during holidays or absences.
- Successful supervision and implementation of all facility management resources, obligated support contracted services, good comprehension of Facility / Building Management services to renew and procure new support contracts if needed.
- Liaising with Events Manager & support the function of Client Services & Successful execution of events.
- Coordinate and correspond with Technology and visiting employees for desk placements, maintaining floorplans.
- Ensure excellent standards of communication between co-workers, peers, managers as required and to lead by example, ensuring any conflicts or disagreements are handled in a professional & timely manner. Cover roles and responsibilities of other member of business services team if/when required.
- Support with all Fire / Health & Safety processes provided to the community. To assist in all fire drills or health and safety tasks delegated by the business services manager. These roles include Disaster Recovery (DR) Business Continuity plan (BCP) fire drills and evacuations, first aid and wellness room policy, staff recording and monitoring.
- Liaise with global counterparts to ensure consistent and standard operating procedures.
- Work in alignment with and in full support of the “Attributes” set within Corporate Services, to foster and nurture a positive teamwork culture, to help and support all work colleagues and managers within the business.
- Previous experience in client facing or admin roles (FOH/Admin/PAs/ School professionals) and / or Hospitality experience (Hotels, Resorts, Events).
- High level organization and multi-tasking skills.
- Able to work under a reasonable amount of pressure whilst undertaking various admin tasks at the same time.
- To always present a smart professional appearance.
- Able to manage emails and reply within the appropriate timelines.
- Demonstrate a professional phone etiquette at all times.
- Proficient in Microsoft Office (Word, Excel, Outlook) with the ability to learn programs as needed.
