Hybrid, Freelands Foundation office in London and from home. Fixed Term. Freelands Foundation believes art is central to a broad and balanced education, and a right for everyone. Our approach combines action research, through academic commissions, workshops, discussions, exhibitions, publications, films, partnerships and a dedicated library; and funding, through grants, awards, fellowships and residencies.

As we approach our 10-year anniversary in 2025, we are embarking on the development of a new website. It will serve as a hub for the organisation providing information and resources for a range of users. As part of this development, we intend to improve the management and preservation of our digital assets.

We are looking for a Digital Asset Manager to oversee the management, preservation and use of Freelands Foundation's digital assets, including over 51,000 images, 2000 videos, 600 audio files and 12,000 PDF resources, totalling over 1000 GB. The Digital Asset Manager will create and manage a solution to preserve this content and enable the population of the website's new resource hub. The successful candidate will establish and deliver a programme of organisation and care. The Digital Asset Manager will report to the Head of Communications (maternity cover) and work closely with the Website Project Manager.

Role and Responsibilities
  • Ensure Freelands Foundation's digital resources are well managed and accessible.
  • Create a digital asset policy to secure the preservation of our digital media through its storage, usage and preservation.
  • Act as the authority on usage, ensuring that each asset is clearly credited with the creator, copyright holder, usage permissions, standardised meta data and alt texts.
  • Actively promote the digital asset policy across the Foundation's staff to ensure its adoption.
  • Identify skill requirements (technical and strategic) of our staff, create guidelines and where necessary a training plan for staff.
  • Establish and maintain an action plan to ensure our digital resources are preserved.
  • Create a process for regular review and updating of policy, working closely with the Data Protection Lead.
  • Develop and implement a digital preservation strategy in line with digital storing, archiving and accessibility best practice and standards.
  • Support the procurement of the digital management and preservation system.
  • Create, monitor and evaluate the storage and usage systems in line with the policies.
  • Work with the Head of Communications (maternity cover) to prioritise the digitisation and distribution of our publications.
  • Support the Foundation to devise a catalogue of its digital assets to include a range of categorisation e.g. theme, format etc.
  • Using the systems developed, provide digital content, supporting the creation of the new website.

Candidate Specification
  • Experience in managing digital media resources and driving digital preservation with current knowledge of best practice tools, IT and collections management systems, and techniques for digital preservation.
  • Practical experience in implementing and working with tools of digital preservation, including systems, metadata standards, data structure standards and models.
  • Working knowledge of storage and file system management.
  • Understanding of compliance with GDPR.
  • Ability to communicate effectively with technical and non-technical users.
  • Experience in creating user manuals, training users to follow procedures, use systems and digital media handling.
