We need a proactive and strategic Executive Assistant to (virtually) join our HQ team and support our founder by managing scheduling, supporting marketing and human resources initiatives, and keeping operations running smoothly. This isn’t a traditional admin-focused EA role – we’re looking for someone who can act as an extension of the founder, anticipating needs and taking ownership of high-value tasks.

What you’ll be doing / Job responsibilities:

  • Managing the founder’s schedule: booking client meetings, team 1:1s, and other check-ins with clients or team members.
  • Taking ownership of the founder’s calendar: prioritizing the most important tasks.
  • Inbox management: managing and responding to emails (Outlook, LinkedIn, Instagram, etc.).
  • Meeting support: notetaking, tracking actions, and ensuring follow-ups happen.
  • Human resources: post job vacancies and shortlist resumes for the first round of interviews, preparing contracts and other paperwork for employees.
  • Track key projects: work with the founder to track key metrics and performance of key projects.
  • The role will not involve any tasks that are done by a personal assistant.

About you / job requirements:

We’re looking for someone who takes initiative and is open to learning about this industry.

Experience: Proven track record as an EA (not PA) for at least 2-3 years, ideally in a startup or fast-moving environment.

Exceptional communication: Fluent English (written and spoken) with the ability to adapt to the founder’s tone and style.

Highly organized: Able to juggle multiple priorities with minimal oversight.

Problem solver: Spots challenges before they arise and takes action.

Trustworthy & adaptable: Can handle confidential information and adjust to shifting priorities.

You’re looking for a purely administrative role with no strategic involvement.

Basic job details:

Working hours: Work timings are according to Eastern Standard Time (EST) from 8:30 am to 5:30 pm, Monday to Friday.

Remote setup: You’ll need a strong internet connection and a reliable system.

Life at Digital Nod:

Base salary: INR 4.8 to 6 lacs (or USD 5400 to 6969) per annum, based on experience.

This role may offer a progression into a remote CoS, Founders Associate, or Marketing/commercial role based on performance.

Fully flexible holiday (22 days to take whenever you like).

There will be company appointed holidays as per USA calendar.
