DMS, part of the AKA Group of companies, was established in 2002 and has over 100 employees.
From our facilities based in London and LA we provide digital creative and media intelligence services to our clients that comprise of major film and TV studios, leading independent film distributors, West End and Broadway theatres, cultural institutions, sports, music and fashion companies.
THE ROLE
Your role and responsibilities will vary according to the needs of the business, but will include;
Senior Versioning Team Leader responsibilities
- The day to day oversight of a key account
- To manage the provision of a full and professional client service, ensuring that all creative & post production jobs flow efficiently and are delivered on time and to the highest possible standards
- To ensure that a high level of client service and face-to-face client engagement is maintained at all times
- To build, grow and hone existing relationships with key clients with the aim of continuously upselling services
- To take creative and finishing briefing meetings with the client
- To be pro‑active in overseeing, coordinating and delivering all aspects of the client’s relationship with DMS.
Liaising with Versioning Producers, clearance and trafficking teams, scheduling, creative and operational and technical personnel to ensure that delivery timescales are met, and production briefs are met
- To work with CS Versioning Producers to manage the localisation process across editing, motion graphics, subtitling, audio mixing and technical delivery
- To ensure that all work is delivered to an appropriate technical and creative quality
- To ensure consistency of output and work with operations to ensure quality control standards are adhered to and met prior to final delivery
- To provide all necessary information for the purposes of client billing and the raising of invoices where appropriate
- Where possible to work alongside the Global Account Managers on campaign briefs, timelines and capacity
- Provide support and complete ad hoc tasks as required by the Head of Client Services
- Maintaining the department in the absence of the Head of Client Service
Line management
- Performance and development are the key areas that you will be responsible for and support in these areas are required to help evolve our service and grow skills within the team.
- To pursue an understanding of your direct reports motivations and responsibilities and to utilise this knowledge to evolve our workflows and support for the team.
- To hold one‑to‑one meetings with your direct reports to discuss their progress, ideas, concerns, performance.
This should be held at least monthly and can be agreed between each party.
- To administrate holiday approval, overtime sign‑off, sick leave registering and monitoring.
- To cascade department goals for the team to the wider group and to support and promote the management teams desired processes and objectives.
- To take part in performance and salary reviews, with the support of the management team.
- To support in the training of your reports and promote their training on DMS processes.
- To be involved in the recruitment process for hiring of staff members who are intended to report into you
- To utilise the Kallidus platform as it rolls out, for progress summaries, setting objectives and tracking development.
- To call upon and utilise your own line manager in the rollout and maintenance of these processes.
Team management
- To coordinate CS trainings and support new starters.
- To keep training materials and style guides up to date and insure handovers across the teams.
- To discuss workload and availability for the upcoming campaigns with the team.
- To have regular catch ups with the team to optimise workflow and divide workload evenly.
- To ensure that all holiday requests are in line with team/staffing requirements.
- To report team’s concerns or issues to the next appropriate instance.
- To help a member of the team if assistance is required/necessary.
- To ensure team’s harmony and well‑being.
Workflow and best practices
- Work with the HODs to identify new best practises and how to implement them both in client services and production
- Monitor internal workflows, identify areas for improvement and make recommendations
- Always ensure studio guidelines, checklists and procedures are followed and that the relevant teams have the latest information
- Make sure that reference material is up to date and constantly maintained within your team
- Provide a first point of call for Versioning Producers in your team, and an available resource to the wider team when they have questions or require experienced advice
Project management
- Suitable projects or clients may be assigned to you in their entirety if you have available capacity.
- Some head office communications may be required to satisfy the project requirements.
- Support will be provided by the management team but ownership of delivering for those projects will rest with you
Billing
• To oversee the billing process including
- Application of the rate card in order to prepare accurate cost estimates
- Providing support to the team to ensure jobs on CETA are billed correctly
- Providing training to the CS team regarding billing processes
- Checking rates are correctly applied on CETA for your team
- Exporting billing approvals and in some instances liaise with the clients on approval of the billing
Regular Senior Versioning Team Leader Meetings
- To be present at Senior Versioning Team Leader meetings. Suggested meeting agenda to include:
- Update the Senior Versioning Team Leader on any developments since the last meeting such as new specifications, unusual orders, problems in the team, etc.
- Share any ideas regarding best practice, tell the group about how your team solved any troublesome issues
- Ask the Senior Versioning Team Leader team for suggestions regarding any outstanding issues
- Discuss what methods can be utilised to grow client confidence, build client relationships and manage client expectations
- Decide together if any points from the meeting need raising in the wider CS team meeting
- Report back relevant notes to the Management Team
- Overview and implementation of metrics for territory throughput (weekly, monthly, quarterly)
- SVTL UK based full time in the office night shift
- Sunday - Thursday
- 5 years’ experience in a post‑production environment
- At least 3 years’ experience in a client‑facing role
- Italian Language preferrable.
- Trusted confidante to maintain confidentiality for sensitive information
- Lead and/or chair internal meetings with an agenda
- Experience leading team meetings and owning the agenda
- Maintaining high quality output when working at speed
- Polite and professional manner
- Confident and assertive
- Experience in supporting the management of a team of at least 3 people
- Adept in teaching and mentorship to impart skills and share knowledge
- Keen forward planner with an interest in strategic thinking
- Demonstrable leadership skills, notably role modelling to lead by example
