Role purpose
The Operations & Executive Support Lead is a vital hybrid role designed to keep our business moving at pace. Splitting your time equally, you will act as the operational heart of our London office and the trusted strategic partner to our Leadership Team. On one side, you will curate a high-quality, secure, and collaborative workplace experience that champions our team culture. On the other, you will provide seamless, proactive executive support managing complex schedules and anticipating the needs of our leadership team before they arise. Working closely with delivery leads, senior stakeholders, and our People team, you will thrive in a fast-paced, scaling environment where no two days look the same.
What you’ll be doing
- Office & Operations Management (50%)
- Workplace Experience: Oversee the day-to-day running of our central London office, ensuring a welcoming, organised, and high-performing environment.
- Visitor & Security Coordination: Act as the first point of contact for visitors, ensuring all security protocols are met. Coordinate closely with delivery teams to confirm security clearances for site visits.
- Space & Booking Management: Manage internal meeting rooms and coordinate external booking requirements.
- Event Logistics: End-to-end planning and execution of company events, including client hosting, executive off-sites and all-staff alignment days.
- Onboarding Support: Partner with the People team to deliver a warm and seamless day-one welcome experience for all new starters.
- Executive Support (50%)
- Proactive Calendar Management: Manage complex, fast-changing diaries and schedules for the Leadership Team, resolving conflicts and protecting their time efficiently.
- Meeting Preparation & Briefing: Prepare, format, and organise critical documentation, agendas and presentations ahead of key executive and client meetings.
- Action Tracking: Attend key leadership meetings where required to take minutes, note action items, and ensure follow-ups are completed.
- Gatekeeping & Communication: Act as a professional point of contact for the leadership team, filtering incoming inquiries and managing correspondence with discretion.

- Dual-Role Experience: Proven track record balancing office management, team assistant, or executive assistant duties within a dynamic, fast-paced environment.
- High-Level Calendar Mastery: Demonstrated ability to manage complex, shifting diaries for senior stakeholders with composure.
- Event & Project Coordination: Experience planning and executing corporate event logistics and managing office operations independently.
- Cross-Functional Collaboration: Comfortable working fluidly across multiple internal departments, such as Delivery, Security, and People teams.
- Tech Savvy: High proficiency with modern workplace tools; experience with Google Workspace and Slack is highly desirable.

Location & Flexibility: This role requires you to be onsite in our London office 3 days a week, with the option of working from home 2 days a week. The post holder must be eligible for and willing to go through SC clearance process.
