We are looking for a Hiring Manager to support our Chief of Staff across hiring, candidate management, interview coordination, and wider operational needs. This is a hands-on role for someone highly organised, proactive, and comfortable moving between structured hiring workflows and the ad-hoc responsibilities that come with working in a fast-growing startup. You will take ownership of job postings, applications, outreach, screening calls, candidate pipelines, interview scheduling, and candidate assessment logistics. Alongside hiring, you will support the Chief of Staff with administrative, operational, and office-related tasks that help the team run smoothly. The natural progression for this role is to grow into a Hiring Lead or Hiring Manager position as Diesta continues to scale.

Key Responsibilities

  • Hiring Operations & Job Management
    • Own job postings across relevant platforms, ensuring each role is accurate, polished, and kept up to date.
    • Manage incoming applications, candidate records, and hiring documentation across active roles.
    • Support candidate outreach and sourcing activity for priority hiring needs.
    • Conduct initial screening calls to assess candidate suitability, motivation, communication style, and role fit.
    • Maintain organised candidate pipelines and ensure each candidate is moved through the process in a timely manner.
    • Track follow-ups, feedback, and next steps so hiring processes remain clear and consistent.
  • Interview Coordination & Candidate Evaluation
    • Coordinate interview scheduling between candidates and internal team members.
    • Manage take-home assignments, technical exercises, and presentation requests used to evaluate candidate ability.
    • Collect interview feedback, support decision-making workflows, and help maintain a strong candidate experience.
  • Operational & Administrative Support
    • Support the Chief of Staff with additional administrative, operational, and office-related duties.
    • Help coordinate internal meetings, team logistics, documentation, and follow-ups.
    • Take ownership of ad-hoc projects and office upkeep tasks that support the smooth running of the business.
  • Process Improvement
    • Identify opportunities to make hiring workflows more efficient, consistent, and scalable.
    • Create and improve templates, trackers, candidate communications, and interview coordination processes.
    • Help build a high-quality hiring experience for candidates and internal stakeholders.

What We're Looking For

  • Excellent organisational skills with the ability to manage multiple roles, candidates, and priorities at once.
  • Strong written and verbal communication, with confidence speaking to candidates and internal stakeholders.
  • High attention to detail when managing schedules, candidate records, assignments, and follow-ups.
  • Ability to work independently, keep others informed, and move tasks forward without constant direction.
  • Comfortable handling confidential information with discretion and professionalism.

Nice-to-Haves

  • Previous experience in recruitment coordination, talent acquisition, people operations, administration, or operations.
  • Experience using job boards, LinkedIn, applicant tracking systems, candidate databases, or pipeline trackers.
  • Interest in hiring, people operations, startup operations, or growing into a hiring leadership role.
  • High ownership and accountability.
  • Proactive, practical, and willing to help wherever needed.
  • Comfortable in fast-moving startup environments, where goal-posts change regularly and the difficulty is managing our demands on hiring managers compared to their existing responsibilities.
  • Friendly and professional, with strong judgement and a service-oriented mindset.
  • Excited by both hiring work.

Within the first 30 days

  • Gain a clear understanding of Diesta's hiring priorities, team structure, culture, and interview process.
  • Take ownership of job postings, application tracking, interview scheduling, and candidate communications.
  • Begin conducting screening calls with support from the Chief of Staff.

Within the first 60 days

  • Manage candidate pipelines across active roles with increasing independence.
  • Coordinate take-home assignments, presentation requests, interviews, and feedback loops from end to end.
  • Support the Chief of Staff with recurring administrative, operational, and office management tasks.

Within the first 90 days

  • Own day-to-day hiring coordination for multiple roles with minimal oversight.
  • Improve hiring trackers, templates, and coordination processes to make the workflow more scalable.
  • Become a trusted operational partner to the Chief of Staff and a reliable first point of contact for candidates.
