Job Purpose: To have responsibility for the end to end payroll process for the UK OTB Brands, Ireland Diesel and Nordic Diesel. To provide comprehensive support to the HR Manager for payroll related tasks and benefits on a regional basis. The Department is responsible for all Retail and Head Office employees across the UK & Nordics.
REGIONAL PAYROLL
- Runs end to end payroll processes
- Calculation of payments for starters, leavers and other mid month changes
- First level of contact for payroll queries (both email and face to face) for Retail Stores and Head Office
- Administer monthly payroll deductions
- Processes monthly additional payroll run (UK) where necessary
- Calculation and preparation of manual payments
- Administers all statutory filing
- Accurate reconciliation and statutory reporting on all payrolls
- Completes all month end reporting including HC & FTE reporting, monthly journals and various accruals
- Carries out monthly payroll review with Finance and investigates any issues, raising these to the HR Manager as appropriate.
- Carries out year‐end process and reporting.
- Manages internal year end process alongside Finance and external Auditors.
- Supports HR Manager on seasonal projects such as Budgeting and Forecasting taking ownership of dedicated aspects.

Contractual & General HR Admin
- Supports the HR team with contractual information and employee inductions regarding pay & benefits
- Supports HR team with administration and system support when required.
Compliance
- Supports employees with electronic payslips and P60s (access to the ADP System); Password resets weekly.
- Ensures P11Ds are distributed annually
- HMRC & GL account reconciliations
- Calculate the annual PSA and pay to HMRC on time.
General
- Maintaining the payroll mail box
- Supports with the departmental archiving and filing
- Support the HR Manager to implement processes and procedures and take ownership of maintaining them.
- Be able to work on projects as directed

It is essential that this employee has exceptional attention to detail with a pro‐active and flexible approach. The employee will need to have a confident approach, be able to operate effectively and efficiently across the region with limited supervision. The role requires someone who is confidential, commercially aware and team oriented to build strong relationships and thrive, becoming a true part of the HR team.
Person Profile
- Previous payroll administrative and internal processing experience of running an in‐house payroll is crucial, at least 4 years – preferably with ADP Ihcm2.
- Excellent written and spoken communication skills required.
- Excellent organisational skills, with the ability to plan tasks in order to meet rigid payroll processing deadlines.
- Have the ability to work under pressure and to process high volumes of detailed work in a short time frame.
- Self‐motivated, must be able to work independently with limited supervision whilst displaying enthusiasm to assist other members of the team when required.
- Positive and committed attitude, hands‐on approach.
- Pro active, methodical and tenacious.
- Advanced payroll and Excel skills necessary.
- Retail Payroll experience necessary.
- Experience of working with Finance is desirable.
