Our client is seeking an organised and detail-oriented Administrative Assistant to support our R&D Claims department. In this role, you will work closely with our Tax and Accounts teams to facilitate the preparation, submission, and management of R&D tax claims. The ideal candidate will be responsible for liaising with both internal and external stakeholders to ensure the timely and accurate submission of claims, resolve queries, and handle any rejections or approvals.

Key Responsibilities:

  • R&D Tax Claims Support: Assist in the preparation and submission of R&D tax claims, ensuring all relevant documents are accurately compiled and meet HMRC requirements.
  • Liaison with Internal Teams: Act as the main point of contact between the R&D Claims, Tax, and Accounts teams to facilitate the flow of information and ensure seamless communication between departments.
  • Processing Submissions: Monitor and manage submissions of R&D tax claims to HMRC and support the team in responding to any queries or issues raised during the review process.
  • Query Resolution: Address and resolve any queries from HMRC or clients regarding the claims, and escalate any complex issues to senior team members as necessary.
  • Handling Rejections: Assist in managing any rejections or challenges to R&D claims by liaising with the Tax and Accounts teams, identifying required actions, and ensuring the timely resubmission of corrected claims.
  • Approval Management: Track and manage the progress of claims and ensure that all necessary approvals are obtained from internal and external stakeholders.
  • Record Keeping: Maintain accurate and up-to-date records of all submissions, rejections, approvals, and communications related to R&D claims.
  • Reporting: Prepare and provide periodic updates to management on the status of claims and any outstanding issues.
  • Administrative Support: Provide general administrative support to the R&D Claims team, including scheduling meetings, maintaining databases, and preparing documentation.

Key Requirements:

  • Proven experience in an administrative role, ideally with exposure to finance.
  • Strong understanding of R&D tax credit schemes and processes (desirable but not essential).
  • Excellent organisational and time management skills, with the ability to handle multiple tasks and deadlines.
  • Excellent written and verbal communication skills.
  • Strong attention to detail and ability to maintain accurate records.
  • Ability to work both independently and as part of a team.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and experience with financial or claims management software (desirable).
