Destiny Finance Ltd t/a Diaspora Insurance is a consultancy firm based in Birmingham, United Kingdom, that specialises in the designing, marketing and distribution of insurance products and risk management solutions targeted at foreign nationals living and working in developed markets like the UK, EU, North America, Canada, Australia and New Zealand. You will be joining a dynamic and ambitious firm focused on making a huge impact on expatriate communities in terms of managing their insurable risks.
About The Role
The Operations & Admin Manager (OAM) reports to the Channels Director. This role is critical in ensuring that all processes are efficient, compliant, and aligned with the company's strategic goals. The Insurance Operations Manager will be responsible for managing teams, streamlining workflows, and ensuring customer satisfaction while adhering to industry regulations.
They will oversee the daily operations of Diaspora Insurance, enforce company policies, ensure smooth functioning of administrative processes and efficient delivery of services to clients and all stakeholders. They are jointly responsible for managing budgets, implementing policies and procedures, and supervising staff. This role involves coordinating stakeholders, service providers, department heads and managers, conducting audits, and providing administrative support to company directors.
Key Responsibilities of an Insurance Operations and Administration Manager
- Overseeing daily operations: Ensuring all departments are running smoothly and efficiently.
- Client acquisition: Managing pre-sale engagements, onboarding processes and systems to post-sale customer service, including claims management.
- Asset management: Managing all fixed and movable assets, including cars, laptops, mobile phones, tablets, cameras, and merchandise.
- Building management: Overseeing contractors and service providers, building systems management, supplies management, and expenditure control.
- Office space allocation: Coordinating office events approval, management, and optimal usage.
- Managing budgets and expenditures: Reviewing financial performance, preparing operational plans, and ensuring adherence to budgetary allocations.
- Implementing policies and procedures: Developing and enforcing company policies to ensure consistency and compliance.
- Supervising staff: Participating in hiring, training, and managing staff to ensure effective performance.
- Providing administrative support: Assisting with administrative tasks, coordinating with partners and stakeholders, and performing file audits.
- Managing client relationships: Acting as a liaison between clients, service providers, stakeholders, and internal teams.
- Ensuring compliance: Monitoring compliance with relevant regulations and policies.
- Client communication: Addressing inquiries, resolving issues, and ensuring client satisfaction.
- Finance & Accounts Department: Ensuring systems are in place to monitor and produce relevant reports.
- Claims management: Overseeing the claims process, verifying coverage, processing claims, and ensuring compliance.
- Policy management: Managing policy documents and tracking alterations.
- Underwriting operations: Processing underwriting data and ensuring accuracy and timeliness.
- Renewal processes: Coordinating the end-to-end insurance process and ensuring timely renewals of policies.
Qualifications and Skills
- Education: A bachelor's degree in business administration, insurance, or a related field is typically required. An MBA is an added advantage.
- Experience: Minimum of 5 years relevant experience in insurance operations, administration, or claims management is essential.
- Skills: Strong organisational, communication, and problem-solving skills are crucial.
- Knowledge: Knowledge of insurance products, policies, and regulation is required.
- Leadership: Proven leadership and team management skills.
- Other: Experience with relevant software and systems is a plus.
