JOB OVERVIEW
The role will primarily focus on providing administration support for the Talent Development and Emerging Talent functions. Reporting to the talent development manager and working closely with the other members of the talent development team to ensure that a professional, client focused, proactive and efficient service is delivered, by supporting Talent Development and Emerging Talent managers. This may include training sessions delivered internally or other internal and external trainers that form part of our training offering. The position will enable you to act as the first point of contact for all training enquiries and ensure all training programmes are scheduled and administered efficiently. The position is an excellent opportunity to play an integral part in people's development, build relationships with people at every level of the firm and become their go‑to person.
MAIN DUTIES
- Support the administrative needs of the TD function
- Ensure that staff are booked on appropriate programmes / courses and the training records are effectively managed and maintained
- Ensure course / programme materials are prepared in advance and trainers are supported
- Undertake project work and support other aspects of the TD team's work as required
- First point of contact for all internal and external telephone and email TD queries, escalating within the team as appropriate
- Supporting team members with the administration processes related to the on‑boarding of all new employees, including trainee solicitors
- Assisting with the administrative duties for the Firms annual continuing competence processes
- Preparing meeting agendas and taking minutes/notes if required
- Producing training reports
- Ensuring all TD files remain up to date within the document management system, adopting a paperless approach where possible
- Proof reading and editing of TD documents and related information.
INTERNAL TRAINING
- Liaising with speakers/trainers and our internal ICT and Facilities Team to ensure that the training rooms are set up appropriately
- Sending calendar invitations via Outlook or the LMS for meetings
- Producing and editing PowerPoint presentations as required for training
- Preparing course materials and liaising with DPT to have them ready for training: course workbooks, handouts, attendance registers, typing up seminar notes as required
- Preparing and sending out evaluation questionnaires where appropriate
- Coordinating firm wide training activities and events as required
- Arranging training programmes as directed by the Professional Support Lawyers.
EMERGING TALENT
- Support the emerging talent function with all administration needs, including; Booking external training required, e.g. Professional Skills Course and maintaining records
- Arrange any internal training required
- Assisting with the recruitment process for the apprentices/trainees (with support from the People Team).
EXTERNAL TRAINING
- Booking external courses, and professional qualification courses (i.e. CILEx and STEP) and associated administration
- Processing of external training expenses in readiness for payment i.e. obtaining authorisation and keeping file copies.
LMS
- Assisting with all LMS administration (e.g. entering attendance registers on the LMS and assigning eLearning)
QUALIFICATIONS
Ideally educated at degree or A level (or equivalent) standard, grades A-C GCSEs, including English and Maths grades A-C (or equivalent).
SKILLS
- Ability to work in a fast paced environment
- Accuracy and attention to detail including completing tasks
- Strong administrative, time management and organisational skills
- Able to work discreetly with confidential and sensitive information
- Proficient with Microsoft packages, Word, Excel, Outlook and PowerPoint
There will be 25 days holiday pa. In addition, other benefits will be available after a suitable qualifying period: a contributory pension scheme; free permanent health insurance; and free life cover.
