Recruiting for a Document Production Assistant to liaise with the Document Production Team Leader and internally with all partners, lawyers and service staff at all levels throughout the practice but the closest contact will be with other members of the team.
Main Duties
- Organising and prioritising your own workload and keeping a level-headed approach in a busy working environment
- Ensuring documents are completed within specified time-frames, providing regular updates to fee earners and Legal Secretaries where appropriate
- Fast, accurate audio and copy typing in our house styles
- Forwarding completed documents to an appropriate proof reader and ensuring the amendments suggested are actioned before returning the document to the fee earner
- Providing detailed handover notes for colleagues at the end of your shift to ensure continuity of quality and client care
- File management processes including filing and scheduling
- Preparing enclosures and any other document collation tasks as required
- Proof reading
- To undertake any specific training when required and to have overall responsibility for self-development
- To undertake all other reasonable tasks as may be required
- Travel between office locations as and when required to meet the needs of the business
Key Skills
- All-round excellent communication and customer service skills
- IT competence and knowledge of Bighand and Peppermint would be desirable though not essential
- Previous experience as a document production specialist or Legal Secretary, in a legal environment
- Excellent IT skills, including software packages such as Word and Excel
- Excellent organisational skills
- Eager to work as part of a team and work well with others
- Excellent numeracy and literacy skills
- A willingness to learn and develop in the role
- An ability to cope with and master changing demands and workloads
Hours of Work
The Document Production Team service hours are 08:00 β 20:00 Monday to Friday inclusive. Individual working patterns will be required to fit in with these service hours. All staff are expected to work such additional hours as are reasonably required for the proper performance of their duties.
