Diamond Search recruitment are delighted to be supporting our client with their search for a Deputy Procurement Planning Manager to join their team. Our client specialises in delivering convenient, seasonal fresh fruit to market across the UK.
The role of the Deputy Procurement Planning Manager is to manage the team of all commercial administration tasks and planning all associated activities on site, driving accuracy, productivity, and performance. To deliver a fast, efficient, and effective supply chain process to internal stakeholders and suppliers.
To effectively manage the Procurement Planning team in the absence of Procurement Planning Manager & Buyer offering support, training, and guidance, leading by example, and actively promoting the organisations values and behaviours.
- Day to day running of the stock control system, which will include verifying supply orders and any top ups and raising any identified issues with relevant Buyers.
- Monitor stock levels, making sure that daily raw material stock levels match the customer orders and scheduling raw material arrivals to meet factory needs, making sure any issues or discrepancies of stock are resolved promptly and efficiently.
- Reviewing and interpreting Quality Control reports for all stock, flagging any identified issues with relevant Buyers.
- Responsible for managing any raw material rejections and arranging replacement of stock to ensure customer orders are met.
- Emails are to be read fully and actioned accordingly.
- Packing lists are to be interrupted correctly and discrepancies raised with supplier.
- Ensure all consignments are correctly set up on the system according to relevant protocols, in all systems, SI, IA, B3 & NAV.
- Discrepancies regarding incorrect arrival data, to be raised with the supplier.
- Checking / overseeing the update & preparation meeting for the next day, arrival schedule report, correct pallets, POs datas etc going through stock system for next day.
- CPA making sure all fruit arriving is approved for our customers.
- That all invoices are processed in a timely fashion and with due attention to the claims tracker.
- Process incoming Production Orders, and working collaboratively with production teams to impart knowledge, develop staff skills and manage waste within the business.
- To communicate with the buying and technical teams to ensure the smooth running of the operation.
- Establish effective working relationships with the supply base, notifying suppliers of possible claims/rejections in a prompt manner.
- Manage/support the analysis and interpretation of sales related and financial data, including product specific information, to present and use for procurement purposes in line with strategies, business plans and requirements.
- Deal with any matters over and above the JD of Procurement Planners or Senior Procurement Planner.
- Deputise for Procurement Planning Manager & Buyer when required, dealing with sickness, return to work, planning of the teams work allocation, receive any holiday request and authorise.
- Provide an update regarding individual or team performance, communicate any or all issues regarding the team to the Procurement Planning Manager & Buyer.
- Support with 1-2-1s and any other requirements from Procurement Planning Manager & Buyer may require.
Who we are looking for:
- Fluent in both spoken and written English.
- The ability to speak other European languages, especially Spanish, is desirable.
- Understands the retail environment and demonstrates a knowledge of supply chain process.
- Able to influence and build effective working relationships with all internal and external stakeholders.
- Confident and resilient communicator with good negotiation skills.
- Computer literate at ease with IT software including all packages of Microsoft Office. Excel skill essential. Navision experience desirable, SI and in house systems.
- Independent with a self-organised approach and the ability to plan a workload and support other members of the team.
- Good time management is essential.
- Attentive to detail and administratively self-sufficient.
