Our client, a well-established and forward-thinking business covering Kent and London, is looking for a Service Administrator to join their team friendly and supportive team. You shall support the Executive Manager with scheduling the recurring maintenance appointments each month, and other administrative tasks and customer service coordination. This role is critical to ensuring the smooth operation of service processes, timely communication with clients, and efficient scheduling of engineers. The ideal candidate will have strong administrative skills, excellent communication abilities, and a proactive approach to problem-solving. Key Responsibilities: * Act as the first point of contact for service based inquiries via phone or email. * Schedule and coordinate service appointments each month, working alongside Executive Manager to ensure contract renewals are sent * Maintain accurate records of service requests, work orders, parts, and customer interactions using internal systems (e.g., CRM) * Process service report findings and purchase orders in a timely manner * Communicate effectively with key clients and customers regarding service status, delays, or follow-up requirements * Liaise with subcontractors * Support the Executive Manager and team with administrative duties, including data entry * Quote basic remedial works from standardised predefined items * Monitor and manage stock levels for spare parts and order replacements as needed * Ensure compliance with company policies, safety regulations, and service standards * Provide general administrative support to the Executive Manager as required Candidate Requirements * Proven experience in a service administrative role * Excellent organisational and multitasking skills with strong attention to detail * Proficient in Microsoft Office Suite (Word, Excel, Outlook); experience with service management software is a plus * Strong verbal and written communication skills * Ability to work independently and as part of a team * Ability to work in a fast-paced and at times, pressurised environment Apply now to join a company where your skills and enthusiasm will truly make a difference.
